Perform any other administrative duties assigned by management.
1. Transport Management
Plan, schedule, and monitor company transport for staff, executives, and official use.
Ensure proper maintenance, fitness, registration, tax, insurance, and route permits of all vehicles.
Coordinate with drivers regarding duty rosters, routes, fuel usage, and discipline.
Maintain vehicle logbooks, fuel consumption records, and cost summaries.
Liaise with transport vendors and negotiate service terms when required.
Ensure compliance with safety, legal, and company transport policies.
2. Canteen Management
Supervise daily canteen operations ensuring hygiene, food quality, and timely service.
Coordinate with canteen vendors on menu planning, pricing, and service standards.
Monitor food safety, cleanliness, and compliance with health & safety guidelines.
Handle employee feedback and resolve canteen-related complaints.
3. General Administration & Facility Support
Ensure smooth operation of office facilities (cleaning, utilities, pantry, stationery).
Coordinate housekeeping, security, and other outsourced support staff.
Maintain admin records, service contracts, and vendor documentation.
Assist in office layout management, space allocation, and asset movement.
Support factory/office compliance with internal SOPs and audit requirements (ISO/GMP support as applicable).
Assist HR & Admin in day-to-day administrative coordination and employee support services.
5. Reporting & Documentation
Prepare monthly reports on transport usage, canteen expenses, and admin costs.
Maintain updated records, checklists, and SOPs for general services.
Support internal and external audits by providing required documentation.
