Educational Requirements:
∎ Graduate/Post Graduate in Marketing/ Statistics/ Management Information Systems/ Business Administration/ Computer Science/ International Business/ Strategy and Policy/ Development Studies from any reputed university/institution.
Job Responsibilities:
∎ Assist Director in generating and compiling reports
∎ Maintain meeting schedules of Director
∎ Extend administrative support to Director
∎ Maintain filing of contracts, MOU’s and relevant documents for the Director’s office
∎ Collect and process data to produce monthly update report of Programme that will serve the purpose for the leadership team in order to make plans and set directions
∎ Maintains database by entering, verifying, and backing up data
∎ Minutes writing is one of the most important and regular responsibilities for this position when meeting is conducted
∎ Maintain interaction with sectors, support units and externals through phone calls, newsletter, and mass mailings
∎ Office Management of Director
∎ Coordinate special events for HCMP and provide assistance in planning and arrangement of conferences, retreats and meetings
∎ Any other responsibilities assigned by the director
∎ Ensure the safety of team members from any harm, abuse, neglect, harassment and exploitation to achieve the programme's goals on safeguarding implementation. Act as a key source of support, guidance and expertise on safeguarding for establishing a safe working environment
∎ Practice, promote and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action
∎ Follow the safeguarding reporting procedure in case any reportable incident takes place, encourage others to do so
Additional Requirements:
∎ Age at least 18 years
∎ Minimum 03 years of work experience in secretarial level of any organization or in development/ Humanitarian field
∎ Having a good knowledge on web technology and Project Management
∎ Acquainted with office management systems and procedures
∎ Excellent verbal and written communications skills both in Bangla and English, strong email communication skill and ability to communicate clearly and concisely with other stakeholders
∎ Excellent presentation skills and arrange meeting effectively
∎ Excellent proficiency in MS Word, Excel, PowerPoint
∎ Plan, organize and manage multiple tasks, set priorities and meet deadlines
