Responsibilities & Context:
∎ Develop comprehensive itineraries for visiting dignitaries and executives, encompassing travel arrangements, accommodation, and logistical details for events and meetings
∎ Provide protocol support to high officials during their visits and interactions
∎ Coordinate hotel bookings, transportation arrangements, and other services for official visitors
∎ Liaise with external partners and agencies to facilitate seamless protocol execution
∎ Manage and supervise the administrative stores and diligently oversee inventories to ensure the uninterrupted provision of services
∎ Oversee office maintenance, including cleanliness, repairs, and renovations
∎ Develop and implement plans aimed at enhancing the performance and services rendered by office assistants and cleaners
∎ Act promptly for any administrative inquiries
∎ Supervise admin team in administrative paperwork, including invoices, contracts, and procurement processes
∎ Assist in the development and implementation of office policies and procedures
∎ Foster collaboration with other departments to support cross-functional administrative requirements
∎ Evaluate the performance of the team, providing feedback and guidance
∎ Stay updated on trends and best practices in administrative management to improve processes
∎ Foster a positive and collaborative work environment to enhance cooperation and morale among team members
∎ Oversee and deliver quality canteen services with cost-efficiency
∎ Perform any other duties as assigned, contributing to the overall effectiveness and success of the organisation
∎ Ensure the safety of Programme Participants, people who come into contact with the organisation and team members from any harm, abuse, neglect, harassment and exploitation including sexual exploitation and abuse (SEA) to achieve the programme's goals of safeguarding implementation. Act as a key source of support, guidance and expertise on safeguarding for establishing a safe working environment
∎ Practice, promote and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action
∎ Follow the safeguarding reporting procedure in case any reportable incident takes place and encourage others to do so
∎ This position is responsible for Admin and protocol management, which is pivotal in ensuring the seamless execution of administrative functions within BRAC-HCMP. This also encompasses protocol-related responsibilities for dignitaries and executives, administrative management, office maintenance and organizing event management.
