Responsibilities & Context:

  • Key Responsibilities

    Invoice & Data Management

    • Reviewing, extracting, and categorizing supplier invoices accurately using receipt capture software (e.g., Dext, Hubdoc).

    • Publishing supplier invoices from Dext and matching payments seamlessly within cloud accounting software (Xero, QuickBooks, FreeAgent).

    • Proactively identifying and flagging missing invoices, receipts, or data discrepancies to the Team Manager (TM).

    • Managing the central accounts inbox, ensuring all financial documents are filed and processed in a timely manner.

    Reconciliation & Reporting

    • Updating and maintaining Google Sheet reports for unreconciled bank transactions, aged debtors, aged creditors, and unpublished bills.

    • Assisting with basic bank and credit card reconciliations across multiple client accounts.

    • Supporting the team with month-end closing procedures and basic data preparation for UK VAT returns (under TM supervision).

    Process & Compliance

    • Working strictly in accordance with the bookkeeping processes and standard operating procedures (SOPs) outlined by the TM.

    • Ensuring strict confidentiality and compliance with data protection regulations (like UK GDPR) when handling sensitive client financial data.

    • Performing ad-hoc administrative duties, data entry, and basic supplier/client query resolution as assigned by the TM.


    Skills & Qualifications

    Education & Certifications

    • Bachelor’s degree in Accounting, Finance, or a related field.

    • A strong plus: Part-qualified or fully qualified in professional accounting bodies such as ACCA or CIMA.

    Technical Skills

    • Strong foundational knowledge of double-entry bookkeeping and core accounting principles.

    • Proficiency in Google Workspace (Google Sheets, Docs) and Microsoft Excel.

    • Prior exposure to UK accounting software (Xero, QuickBooks, FreeAgent) is highly desirable, though full training will be provided for the trainee level.

    Soft Skills & Attributes

    • Communication: Excellent written and verbal English communication skills, as the role involves supporting a UK client base.

    • Attention to Detail: High accuracy in data entry and numerical processing.

    • Adaptability: Eagerness to learn UK-specific accounting practices (such as VAT schemes) and the ability to thrive in a fast-paced BPO environment.

    • Time Management: Ability to meet daily processing SLAs and weekly reporting deadlines.

  • Working in accordance with the bookkeeping process outlined by the Team Manager (TM) Ad-hoc administrative duties (including reconciliation) as assigned by the TM

    Willing to pay more to deserving candidates with previous UK Finance/Accounts BPO exposure
