∎ Secondary School Certificate (SSC).
Experience Requirements:
∎ At least 2 year(s)
Job Responsibilities:
∎ Cover reception desk and deliver and collect official letters/documents as required.
∎ Keep reception area stocked with project's promotional materials.
∎ Provide support and assistance to any organized events including serving refreshments (snacks, lunch dinner etc) and providing logistics support to facilitators and participants.
∎ Deliver office supplies to staff as per request ensuring proper use of chalan and other stock register/receipt controls are in place.
∎ Manage postal and other hand-delivery of mail and packages maintaining a Register with proper information and record.
∎ Ensure that the newspapers are placed and preserved properly.
∎ Clean offices, furniture, equipment, kitchens, conference rooms, reception area, bathrooms and other shared office spaces daily (and throughout the day as necessary).
∎ Prepare welcome pack with necessary information and documents of the project as per instruction of supervisor for visitors such as consultants, Chemonics Headquarters' staffs and related international volunteers.
∎ Assist in scanning, photocopying, spiral binding, filing and other document-related support as requested.
∎ Preserve the office main door keys carefully and open the doors every working day by 8:00 am. And properly closed and locked before leaving the office if last to leave.
∎ Check all the rooms before leaving the office and ensure that the switches of all electrical equipment and appliances are turned off if last to leave.
∎ Arrange packaging for sending and receiving any official documents/materials/equipment to different regional offices through courier service with proper documentation.
∎ Periodically check all the office equipment/electrical appliances, connections and take necessary steps immediately to fix them in consultation with the supervisor.
∎ Oversee repair of all electrical/mechanical office equipment, fixture and fittings.
∎ Perform other outside works such as banking, collecting quotations, and purchasing small items as needed for office (within the petty cash amount).
∎ Any other administrative duties as assigned/requested by the management.
Additional Requirements:
∎ Minimum two years' experience working as an Office Assistant or in other administrative role.
∎ Computer literate in MS word and excel.
∎ Clear knowledge about Cleaning and maintenance of office equipment & furniture.
∎ Basic English communication skills.
∎ Experience working for an international/national development organization or other donor funded project.
∎ Strong organizational and work prioritization skills, attention to detail.
∎ Ability to work both independently and as part of a team.
∎ Demonstrates leadership, versatility, and integrity.
Salary:
∎ Negotiable based on experience, qualifications and salary history.
