Responsibilities & Context:
∎ Managing day to day overall administrative activities of Head Office premises such as housekeeping, security service, transport service, logistic support, safety & security, maintenance office equipment, surveillance system (CCTV and PABX) and other relevant matters that towards the smooth operation of the Company.
∎ Servicing for expats/ overseas employees (work permit, visa, security clearance related works and maintaining liaison with concerned authority such as BEZA, BIDA, Visa Office, Special Branch, NSI).
∎ Handling regulatory and others external affairs as a key person (business licenses/certificates renewals, amendment related works and maintaining liaison with concerned officials/departments of government regulatory body such as City Corporation, Labor Court, CCI&E, Police Station, Ministry, Department of Explosives, Department of Narcotic Control).
∎ Preparing annual admin budget in terms of both OPEX and CAPEX and ensure worthy utilization of budget through control over invaluable expenses.
∎ Vehicle management - (Keeping records of vehicle-related documents like BRTA related activities, registration, route permit, tax token, insurance etc. and ensure that all the vehicle’s related documents are updated timely.
∎ Monitoring and controlling transportation costs: including fuel, maintenance, and driver overtime. Prepare duty roster for all driver and assign duties as per business requirement.
∎ Supervising and monitoring third party payroll staffs (driver, security, cleaner and support staff) and evaluate their work performance, payroll management etc.
∎ Coordinating with commercial department for purchasing product/service or equipment as per business needs.
∎ Petty cash, utility service management and reconciliation with accounts.
∎ Any other administration related job assigned by the management.
