Job Responsibilities:
∎ This position requires to provide direction to the non-medical departments, i.e. Operations, Hospitality, Facility Management, Food & Beverage through strategic decision making in line with the vision and mission of Apollo Hospitals Dhaka.
∎ Review and approve adequate plans for the control of planned outputs, budget spending and staff efficiency.
∎ Identify short to long term strategic needs of the organization and execute plans for implementation.
∎ Formulate training and incentive plans; maintaining efficient team structure and performance through analytics, processes and tools
∎ Maximize new customer engagement; and working with the leadership team to develop plans to meet future needs.
∎ Achieve customer service objectives by contributing customer service information and recommendations to strategic plans and reviews; customer service trends; determining system improvements; implementing change.
∎ Oversee, direct and ensure the smooth functioning of all support functions in the hospital.
∎ Oversee day-to-day administrative and co-ordination between departmental heads of the hospital.
∎ Liaise and consult with administrative heads to set goals and standards of performance for various hospital areas.
∎ Conduct monthly review meetings of all Managers/Executives to review performance of previous month, targets for the current month and devising action plans for improving.
∎ Monitor and ensure operational targets are met by the hospital and allied departments.
∎ Institute reporting, control and monitoring systems and procedures for the concerned departments of the Hospital.
∎ Responsible for providing adequate support and resources to ensure trouble free administration of patient care areas.
∎ Advise the Company on the purchase of such inventories, provisions, supplies and equipment as may be necessary for the proper maintenance and operation of the Hospital.
∎ Ensure that all material requisitions from the support functional areas is checked, verified, justified and forwarded for procurement to the materials department.
∎ Conducting periodic analysis of profitability of operations and devising plans for improving profitability and reducing costs.
∎ Oversee the appointment of staff up to specified levels, review of their performance, promotions, increments etc.
∎ Identify training needs of the personnel and conducting training to the executives as may be required.
∎ Set up systems and procedures relating to all activities of the department.
∎ Function as a member of select committees as may be required.
∎ Additional Job Responsibilities

∎ Outsourced Services: Oversee, direct and control all outsourced.
∎ Establish policies, procedures and work practices for outsourced services which meet Apollo Hospitals, Dhaka standards.
∎ Monitor outsourced services in all areas of the hospital and ensure they are to Apollo Hospitals, Dhaka standards.
∎ Follow-up, report on and take pro-active action with managers of outsourced services to deal with compliments and/or complaints concerning services provided.
∎ Planning: Develop and review the operational plan for ensuring that the plans are in line with the strategic objectives of the hospital.
∎ In consultation with the Director - Finance set the budget for the Operations Directorate.
∎ Monitor achievement of set targets or identify variance as against approved budgets.
∎ Recommend manpower requirements based on utilization / occupancy.
∎ Conduct periodic analysis of profitability of operations and devising plans for improving profitability and reducing costs.
∎ Determine necessary space, equipment, supplies and support systems to ensure effective functioning of Operations Directorate.
∎ Quality :Monitor and review services in Operations Directorate to ensure a high degree of customer satisfaction.
∎ Investigate customer concerns and implement appropriate courses of action.
∎ Set standards for Operations Directorate and ensure a high quality of service delivery as per set standards.
∎ Work on JCI International Accreditation as a part of Quality Management initiative.
∎ Agree the KPI's of the Departmental Heads based on organizational objectives.
∎ Evaluate and provide feedback to managers and direct reports under Operations Directorate as a part of the Performance Management System.
∎ Conduct monthly review meetings of all Managers / Executives in Operations Directorate to review performance of the previous month and set targets for the current month, devising action plans for improving performance.
∎ Provide input to Managers in terms of improvements in technology, new processes for supporting the clinical processes / outcomes.
∎ Relationship Management: Ensure good employee relations in the Hospital which will support healthy employee satisfaction.
∎ Take corrective action in situations requiring immediate intervention, including interpretation and administration of hospital policy and work rules.
∎ Intervene and problem solves for inter-/intra-departmental issues.
∎ Facilitate interdepartmental communication, negotiation and decision-making.
∎ Communicate pertinent information (verbal and/or electronic) in a timely manner to hospital administration and department leadership.
∎ Represent the organization at different forums to contribute and build a positive external image.
∎ Staff Development: Coach staff in problem solving, effective communication strategies, and conflict resolution and career path opportunities.
∎ Serve as a professional role model and mentor to staff by responding positively to change and challenging situations supporting colleagues through the same change process.
∎ Perform any task as and when assigned by the Management.
Additional Requirements:
∎ Age at least 45 years
∎ Minimum 20 years of experience in any foreign countries with substantial job involvement in Internationally accredited hospital/health care service provider at hospitality services, customer relationship management, hotel management, culinary management etc.
∎ Most importantly the candidate must have strong business acumen and skills in number analysis.
