We are looking for a talented and skilled Asst Manager / Dy Manager (Admin) who will execute our Admin related tasks in our Shopping Malls. The candidate will also collaborate closely with the Head of Admin under the guidance and supervision of the Management.

∎ Collaborate with maintenance teams to address repairs promptly and maintain a well-functioning environment.
∎ Implement security protocols and conduct regular assessments to enhance overall security measures.
∎ Liaise with external vendors for services related to security, electrical work, and building maintenance.
∎ Negotiate contracts with vendors, ensuring cost-effectiveness and high-quality service delivery.
∎ Provide excellent customer service, addressing inquiries and concerns from both visitors and tenants. Plan and execute events within the shopping mall, coordinating logistics and security arrangements.
∎ Develop and update emergency response plans, conducting regular drills for staff and stakeholders.
∎ Maintain organized records and documentation for administrative and maintenance activities.
∎ Assist in budget planning, monitor expenses within the admin department, and identify cost-saving opportunities.
∎ Coordinate with relevant authorities during emergency situations, ensuring a prompt and effective response.
∎ Lead and motivate the admin team, fostering a positive and collaborative work environment.
∎ Streamline administrative processes to enhance efficiency and productivity.
∎ Conduct regular team meetings to address concerns, share updates, and maintain open communication.
∎ Supervising day to day operations of administrative departments and staff members, such as attendance, cleaning, Head office and operational building /projects, maintenance and security of all projects.
∎ Developing reviewing and improving administrative systems, policies and procedures of the organization.
∎ Maintaining liaisons with government offices /authorities to pursue government office related jobs can done smoothly and timely. Ward commissioner, local police stations, associations, and societies.
∎ Visiting projects and implementing to ensure proper security of concerned projects according to their criteria vacant, under construction & operational buildings/projects.
∎ Strengthening security of the projects of Capita Group by providing training to security guards (maintenance, cleaning, management etc.)
∎ To maintain the overall administrative control of all our groups properties and institutions.
∎ Statistical fuel consumption report prepared and submit to management.
∎ Responsible daily vehicle schedule maintain and approval from management.
∎ Vehicle inspection report submit to every fortnightly to the management.
∎ Vehicle documentation checking each month and update the list office vehicle and management vehicle.
∎ Vehicle periodic maintenance office and management vehicle.
∎ Prepared various note sheet cross checking with the bill and submitted to the management for approval.
∎ Maintain Security bill and monthly service charge of various project prepared letter and note sheet, submit to the management for approval.
