Responsibilities & Context:
∎ Oversee daily administrative operations and ensure efficient office management.
∎ Maintain office supplies and equipment.
∎ Ensure the maintenance and cleanliness of office premises.
∎ Manage relationships with vendors and service providers for maintenance, utilities, and other services.
∎ Supervise and train support staff, including office assistants and drivers, and on a monthly basis, assess their performance.
∎ Maintain and update records, including rental agreements, licenses, legal documents, vehicle tax tokens, fitness certificates, insurance, and logbooks.
∎ Plan and organize meetings, workshops, and company events.
∎ Oversee and manage office canteen operations.
∎ Review and obtain approval for bills and expenses related to administrative activities.
∎ Implement and monitor office safety protocols.
∎ Arrange domestic and international travel for employees, including transportation and accommodation.
∎ Track and manage company assets such as furniture, electronics, and vehicles.
∎ Oversee the repair, replacement, and disposal of assets for offices and showrooms, as necessary.
∎ Distribute company financial aid to various institutions and individuals.
∎ Assist in bringing funds from the showroom as and when necessary.
∎ Ensure warehouse security through periodic visits and take proactive measures to enhance warehouse safety.
∎ Ensure presence at any office or showroom during crises or emergencies, or to supervise maintenance work as required.
∎ Conduct market surveys to prepare a comparative statement (CS) prior to any purchase and submit a budget requisition for approval.
