Educational Requirements:

Job Context:
∎ ROLE PURPOSE: Admin & Logistics Officer (ALO) is the key Project Office based staff of SDA-MNCH in Coastal Bangladesh project. Primary responsibility is to ensure all administrative, procurement and staff administration related dealings for the project with honesty and integrity. He/she will be responsible to bear the admin related works on behalf of the project of field office and necessary admin support services also. Under the direct Supervision from Project Coordinator (PC) all HR and administration dealings will be happen in field. He will maintain liaison with SDA Head office Finance and HR Manager for official transaction and reporting and management.
∎ SCOPE OF ROLE:
∎ Reports to: Project Coordinator (PC) RMNCH
∎ Dotted line management: Finance & HR Manager of SDA and Admin Manager MNCH of Concern Worldwide and other key project management team.
∎ Dimensions:40% of field visit required
∎ Staff directly reporting to this post: Project Support Staff& volunteer
∎ Functional relationship: Finance Officer, Training, MEAL & Admin of SDA
∎ TEAM/PROGRAMME : SDA-RMNCH in Coastal Bangladesh (funded by MAC-P, Concern Worldwide)
∎ LOCATION : Upazila Level (Galachiapa-Patuakhali)
∎ POST TYPE : 100% (Project Base/ Contractual) GRADE : Level-7

Job Responsibilities:
∎ Provides and ensure administrative and logistics support to ensure efficient operation of the office.
∎ Schedules meetings and supports visitors. Carries out administrative duties such as filing, typing, copying, binding, scanning etc.
∎ Completes operational requirements by scheduling and assigning administrative projects and expediting work results. Makes travel arrangements for senior staff such as booking flights, cars, and hotel or restaurant reservations.
∎ Procure goods and services and need to coordinate with Accounts.
∎ Exhibits polite and professional communication via phone, e-mail, and mail.
∎ Supports the team by performing tasks related to organization and strong communication.
∎ Ensures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques.
∎ Provides information by answering questions and requests.
∎ Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing, and expediting orders for supplies.
∎ Maintain and preserving all kinds of official documents. Maintain staff personal files, leave file, stock register, attendance register, inventory, meeting resolution, telephone etc.
∎ Provide logistic support to the programmatic activities of any kind event management as per project plan.
∎ Supervise office support staff at field level. Draft / issue salary certificates, employment certificates, experience certificates etc. as and when required
∎ Collects and compiles personnel data from the GIZ office and projects as per requirement
∎ Handle incoming and outgoing documents of HR
∎ Support in distributing employees' payments related documents
∎ Serve as a point of contact for vendors and service providers of HR
∎ Handle HR related service queries
∎ Liaise with Government and other departments and/or projects
∎ Contributes to team effort by accomplishing related results as needed.

∎ ESSENTIAL:
∎ Working Experience: At least 5 years' experience in NGO environment with position hold as Admin Officer or Admin HR and Logistic support provider in large project setting. Women and disable candidates are specially encouraged to apply.
∎ Knowledge: Should have clear concept on Admin and logistics management issues and knowledge in programs of Government and community health support facilities.
∎ Skills:
∎ 1. Good communication skills both in English and Bengali
∎ 2. Should have ability to interpret report writing skills in Bangla and English
∎ 3. Good Computer knowledge on MS-Word, MS-Excel, PP and other relevant software is a must for this job
