Job Context:
∎ To assist in the procurement and Warehousing activities for Cox’s Bazar District according to the applicant`s requirement (in terms of quality, quantity, and delivery place/date) and in compliance with HI (and donors) procurement rules.
∎ The Supply Assistant supports the program activities under the direction of the Supply Manager to facilitate market assessments and the collection of quotations, preparing various procurement forms for accurate and transparent procurements and payments upon his/her line manager requests.
∎ The Supply Chain Assistant will be responsible for the management and coordination of the information related to procurement done for the mission.
∎ The Supply Chain Assistant directly supports the Supply Officer and Area Supply Manager in Cox’s Bazar, Ukhiya, and Teknaf and operates within the Procurement and Supply Management Guidelines and procedures.

Job Responsibilities:
∎ Objective 1: Procurement
∎ Assist to evaluate and negotiate contracts with vendors (prices, delivery time, payment terms)
∎ Ensure that Procurement follows up is initiated, maintained, and updated.
∎ Works in close collaboration with the program staff and other Supply Chain staff to provide an up-date regarding the ongoing orders.
∎ Conducts market surveys procurement activities
∎ Assists with the development and maintenance of the supplier database.
∎ Identify the new suppliers and make permanent research on new sources of supply for the benefit of the organization.
∎ Update every three months a Pricelist.
∎ Objective 2: Data entry and analysis
∎ Entering and gathering data from the procurement officers to ensure the production of weekly and monthly PSRMC
∎ Register all incoming PSRs and allocate tracking numbers
∎ Consolidate data and produce analysis by highlighting delays, overlaps, etc. to the Supply Chain Manager
∎ Manage an e-data collection of information related to supply chain (list of suppliers, catalog price list, etc.)
∎ Objective 3: Documentation and Archive
∎ Assist the full validation of the purchase forms by the appropriate persons at the field, mission and Head Quarter (HQ) level;
∎ Assist accurate and complete hardcopy files and electronic filing (SCAN) archives of procurement packages with ALL supporting documentation.
∎ Ensure the data security (Backup of computer data has been routinely followed)
∎ Objective 4: Reporting
∎ Provide regular reporting on activities to the Supply Chain Officer / Supply Chain Manager upon his/her solicitation (coordination meeting, workshop meeting, etc.);
∎ Ensure the PSR MC (procurement and service request monitoring chart) is accurately updated daily and is available to be distributed to Program and Finance staff every week
∎ Transmit monthly the equipment procurement files to the Logistics Officer in Cox
∎ Objective 5: Ethics and Professional Practice
∎ Show professional ethics, respect and promote Handicap International mandate
∎ Respect the Handicap International protection of children policy and protection of beneficiaries from sexual exploitation and abuse policy and report to your line manager any non-respect of HI’s policies amongst the teams or partners;
∎ Respect the Handicap International policy and mechanisms for the prevention of, and fight against, FRAUD and bribery and report to your line manager any non-respect of HI’s policies amongst the teams or partners.
Salary: Tk. 38466 - 41053 (Monthly)
