Job Responsibilities:
∎ Should be well convergent in Supply Chain processes she/he shall be responsible in preparing the supply chain operational manual of the organization.
∎ Negotiating with vendors for the best price and initiating comparative statement for the approval of the board.
∎ Executing PO's as per approval of the board.
∎ Checking & controlling PI & other invoices, packing list & other related documents for exporting/importing of goods/services.
∎ Present shipping documents to respective custom stations on time.
∎ Managing custom, import clearance & documentation.
∎ Collect quotation against specific freight forwarder and prepare comparative statement for specific importable/exportable items.
∎ Ensure prepare and manages renewal of all kind of Company Certificates from related government regulatory authorities.
∎ Liaison with Bank, EPB, Shipping Line, Forwarding Agents and others organization related to export and import documentation.
∎ Sound knowledge of Clearing & Forwarding (C&F), Customs Bond rules & regulations etc.
∎ Ensure Collecting Bill of Lading on time & submitting import/export documents to forwarding agent or Bank to Bank.
∎ Preparing L/C Closing statement & report to management.
∎ Ensure managing yearly Customs Audit claims independently.
∎ Experienced in Export -Import and Banking.
∎ Look after the entire export and import related other activities.
∎ Clear knowledge of current rules & regulations of Customs, UCPDC- 600, HS Code, and Incoterms.
∎ Ensure handing over relevant documents to Operations for transportation of goods and materials to and from ports.
∎ Prepare Monthly Procurement Plan and implementation of plan based purchase and prepare Annual Procurement Plan of the organization with a view to annual business projection plan.
∎ To set priorities of procurement as per the requirement of concerned projects.
∎ To contact with the concerned vendor, suppliers and other stakeholder.
∎ To identify potential vendor and to prepare half yearly vendor list and arrange approval of the management.
∎ Prepare meeting resolution, procurement papers, purchase order, work order and 'Justification/Note for Records' as needed and maintaining the procurement log register.
∎ Communications & follow up with the commercial, suppliers, carrier companies, forwarders and so on to arrange material on time.
∎ Receipt of the products/services and handover of Invoice to stores to ensure on time issuance of products and to replenish adjustments in case of short delivery.
∎ To examine sample basis whether the order goods/services properly supplied by the suppliers or not.
∎ Provide a strategic, efficient and flexible procurement service which will deliver optimum value for money, cost savings and best quality of service.
∎ Advice and groom all the functions related to procurement and supplier relationships helping to drive better procurement service.
∎ Supervise overall functions of Commercial Department.
∎ Prepare relevant documents to open L/C.
∎ Supervising Import & Customs jobs, coordinating with Government Officials, C&F Agents, Banks, Insurance, Freight Forwarders, Transports & Other related organizations.
∎ Tracking various stages of import/export activities and supervise urgent issues.
∎ Submission of shipping documents to banks and related offices.
∎ Overseas (import) purchase related Commercial activities through different types of Letter of Credit / Work Order and Banking formalities.
∎ Checking LC drafts, shipping documents & other relevant documents for importing of goods.
∎ Proper LC follow-up from the beginning to the arrival of shipment.
∎ Follow-up & Coordinating with C&F agents, Banks, Freight Forwarders & Transporters to get imported goods on time.
∎ Perform any other job as per decision by the Top Management.
