Job Context:
∎ totalFOOD is looking for an accountable Office Manager who will be responsible for the mechanical/refrigeration engineering and technical disciplines that projects involve. You will help to schedule, plan, forecast, resource and manage all the technical activities aiming at ensuring project accuracy and quality from conception to completion. You are expected to help to keep construction and engineering projects on time and on a budget, as well as monitor for fitness of purpose along the way.
∎ You will oversee purchase, negotiation and payment for all sorts of transactions to various parties involved with the project.
∎ You will be responsible for the day to day running of the office operations and HR functions. You will also
∎ Oversee and maintain office equipment for uninterrupted function, identify and fulfill office supply needs, maintain and manage vendors, and coordinate the office canteen as needed.
∎ You will work closely with other levels of management such as Management and Business Development teams to scope out prospective projects, agree on timings and service level agreements with clients, negotiate with third party contractors and manage the creation and delivery of detailed project plans. Ultimately, bringing in a profitable, successful project on time and to the satisfaction of the end-user is the Senior Project Engineer`s responsibility.
Job Responsibilities:
∎ Use a range of software, including email, spreadsheets and databases, to ensure the efficient running of the office
∎ Manage online and paper filing systems
∎ Develop and implement new administrative systems, such as record management
∎ Record office expenditure and manage the budget
∎ Organise the office layout and maintain supplies of stationery and equipment
∎ Maintain the condition of the office and arrange for necessary repairs
∎ Organise and chair meetings with staff - in lower-paid roles this may include typing the agenda and taking minutes, but senior managers usually have an administrative assistant to do this
∎ Oversee the recruitment of new staff, sometimes including training and induction
∎ Ensure adequate staff levels to cover for absences and peaks in workload, often by using temping agencies
∎ Carry out staff appraisals, manage performance and discipline staff
∎ Delegate work to other office staff as well as labour force and manage their workload and output
∎ Promote staff development and training
∎ Implement and promote equality and diversity policy
∎ Write reports for senior management and deliver presentations
∎ Respond to customer enquiries and complaints
∎ Review and update health and safety policies and ensure they're observed
∎ Check that data protection laws are being adhered to in relation to the storage of data, and review and update policies
∎ Arrange regular testing for electrical equipment and safety devices
∎ Attend conferences and training
∎ Manage social media for your organization.

∎ Age at least 28 years
∎ Previous success in office management
∎ Engaging personality and optimistic outlook
∎ Experience developing internal systems
∎ Ability to handle confidential information
