Job Context:
∎ Johns Hopkins Center for Communication Programs is looking for a hardworking, passionate, and self-driven individual for the position of Office Assistant for its country office in Bangladesh. The position will mainly be responsible for the handling of the telephone, and PABX System, documenting all incoming/outgoing mail/receiving guests at the reception area, provide assistance to Operations Manager in all administrative tasks.
∎ Reports to: Operations Manager
∎ Schedule (hours/days): Starting from Sunday through Thursday

Job Responsibilities:
∎ Opening and closing of office premises on time.
∎ Dusting of workstation, and office premises and maintaining general cleanliness of office;
∎ Arranging and re-stocking of water supply and pantry materials.
∎ Keep track of supplies and stationery items.
∎ Help in ordering stationery items.
∎ To help in arranging IEC and other material.
∎ Safeguarding of office equipment;
∎ Greet Visitor and vendors upon arrival and direct them to appropriate offices:
∎ Maintains equipment by completing preventive maintenance and calling for repairs.
∎ Official documents photocopies, scan, filing, spiral binding, printing, Fax operation of all necessary documents;
∎ Setting up a projector/computer in meeting rooms.
∎ Flexible in working hours and should be able to meet tight deadlines, willing to attend events and to work outside of usual office hours where necessary;
∎ Manage Reception in the absence of Admin and Finance Assistant
∎ The office assistant will maintain a stock of cleaning materials, beverages, snacks, and other relevant supplies.
∎ Taking care of simple maintenance work and reporting other needs to the Operations Manager
∎ All time keep the pantry in a clean, tidy, and hygienic condition, including all kitchen utensils. Daily washing of dishes, cleaning of kitchen equipment, keeping plates, cutlery, and foodstuff orderly.
∎ The Office assistant may be asked at any time during office hours to serve staff and consultants with beverages like water, tea, or coffee.
∎ Any other administrative duties as and when assigned by Operations Manager

Additional Requirements:
∎ 4-6 years related experience in administrative and staff support/Office Assistant roles.
∎ Exposure to international or non-profit organizations preferred.
∎ Strong problem-solving skills and attention to detail, timeliness, and accuracy.
∎ Pleasant and helpful attitude.
∎ Good manners and respectful behavior.
∎ Ability to respond tactfully and appropriately to requests.
∎ Conversant with MS Office & Excel.
∎ Ability to write and speak in English and Bangla;
