The Manager – E-commerce Operations is responsible for ensuring smooth and accurate day-to-day operations of our Shopify-based online business. The role focuses on end-to-end order processing, vendor coordination, and inventory management to deliver timely and error-free fulfillment. This position plays a key role in maintaining product data, updating the Shopify store, and ensuring financial accuracy through coordination with vendors and the accounting team. The purpose of this role is to maintain operational excellence across all e-commerce functions while supporting business growth and customer satisfaction.
Key Responsibilities:
1. Order Processing & Fulfillment
Monitor daily sales and follow up on payments.
Prepare and send Purchase Orders (POs) to vendors.
Verify vendor invoices for product, quantity, and pricing accuracy.
Forward approved invoices for payment processing.
Coordinate shipping activities:
Collect packaging details from vendors.
Prepare and send Bills of Lading (BOL) / Shipping Labels to vendors.
Follow up on shipment and delivery status with vendors.
Fulfill and update orders in Shopify once shipped.
Share tracking information with customers and update order statuses.
Track and confirm deliveries, updating customers accordingly.
Record all order-related data and customer communication in Shopify.
Manage damaged or lost shipments:
Coordinate replacements with vendors (vendor’s carrier).
File claims with carriers when applicable.
2. Shopify Store Management
Create and manage product collections page, categories, and navigation menus.
Update homepage elements such as promotional blocks, collection lists, and announcement bars.
Upload and maintain product images, descriptions, and other content.
3. Vendor & Accounting Coordination
Share detailed sales and vendor payment data with the accounting team.
Collect monthly bank statements and forward them to the accountant quarterly.
4. Inventory Management
Monitor and update product inventory for vendor by verifying availability on their website.
Ensure weekly product inventory updates within the system.
