Job Context:
∎ Duty Station: Based in Ukhiya with frequent travel to Teknaf and Cox`s Bazar
∎ Report To: Logistics Manager
∎ Expected Start Date: At Earliest
∎ Contract length: Six Month (With possibility of Extension subject to funding, program needs and performance of incumbent)
Job Responsibilities:
∎ The Logistics Coordinator works under the direct supervision of the Logistics Manager in Cox's Bazar, with dotted reporting lines to the Field Coordinator. The Position will be responsible for managing fleet, the hospital and office facilities in Ukhiya, contracts and lease management, procurement, Warehousing, assets and inventory as well as the general daily operational activities for RI's COVID19 Response Program. This position requires attention to detail, accountability, flexibility, creative thinking and ability to meet deadlines.
∎ Support the Procurement and Logistics Officers in conducting procurement processes as per RI procurement and donor guidelines
∎ Monitor the procurement tracker, procurement plans and supplier database to ensure they are regularly updated and accurate
∎ Support the administration of effective order management systems including pre-approved, preferred suppliers and framework agreements
∎ Ensure that the supply chain is appropriate and cost effective, based on budget, markets, infrastructure, nature of the RI programs, and need for timely delivery
∎ Participate in various coordination meetings and report to Field Coordinator and Logistics Manager on key issues
∎ Manage all daily fleet movements of vehicles, including training drivers and maintaining driver schedules and rosters
∎ Oversee facilities management of the Hospital, Ukhiya& Teknaf Office and guesthouse; provide technical support to field Operations staff in facilities management of field offices
∎ Oversee general management of the warehouse and pharmacy at the hospital.
∎ Oversee the general admin management of the hospital facilities.
∎ Develop and conduct internal trainings on key operations topics
∎ Provide technical and operational support to staff, as well as advise on application of procurement and operational best practices, systems and procedures
∎ Advise on the bid evaluation committees, ensure the integrity of the competitive process, and exercise appropriate judgment and tact while ensuring to protect confidential information
∎ Oversee goods and assets received in Ukhiya Hospital and ensure proper documentation and systems are followed for their movement and tracking
∎ Maintain a centralized asset register; ensure that all office and program assets are logged. Ensure all assets are issued with unique RI asset number, ID tag and are tracked and provide oversight to field operations asset management
∎ Visit the facilities regularly; identify gaps and improvements; provide technical recommendations to Hospital Administrator to ensure the smooth running of sites
∎ Prepare monthly logistics reports as needed (procurement, Inventory, fuel usage reports, contract and lease trackers, assets and GIK etc.)
∎ Working with the Field Coordinator, advise on security related matters
∎ Deputize for the Field Coordinator as needed
∎ Other duties as assigned by your supervisor
Additional Requirements:
∎ 5+ years of experience in logistics, administration, procurement, preferably in iNGOs
∎ Able to prioritize, communicate effectively, and meet deadlines.
∎ Willingness to travel to field sites and work extensively - sometimes at short notice, in difficult places and under long hours
∎ Able to work independently and within a team.
∎ Ability to problem solve and work well under pressure
∎ Pro-active, detailed oriented and reliable
∎ Flexible in schedule, attitude and work prioritization.
∎ Proficient in Microsoft Office and Google software, particularly Google Drive, Gmail, Google Docs, MS Word and MS Excel.
∎ Fluency in English
