Job Context:
∎ The individual will undertake all duties at the desk of main entrance. He/she will be the "face" of the company for all visitors and will be responsible for the first impression.
∎ The ideal candidate will have a friendly and easy-going personality while also being very perceptive and disciplined. He/she should be able to deal with complaints and give accurate information. A customer-oriented approach is essential.

Job Responsibilities:
∎ As Front Desk:
∎ Keep front desk tidy and presentable with all necessary material (pens, forms, paper etc.)
∎ Greet and welcome guests
∎ Answer questions and address complaints
∎ Answer all incoming calls and redirect them or keep messages
∎ Receive letters, packages etc. and distribute them
∎ Prepare outgoing mail by drafting correspondence, securing parcels etc.
∎ Monitor office supplies and place orders when necessary
∎ Keep updated records and files
∎ As Admin Assistance:
∎ Review and maintain written and computer files, plus conduct data entry
∎ Assist in the coordination of administrative functions, including budget, personnel, meetings, and clerical duties
∎ Help implement new Admin programs, procedures, methods, and systems
∎ Responsible for preparation of confidential documents and reports for Admin
∎ Coordinate and schedule meetings and conferences
∎ Coordinate operations, including purchasing, equipment, property inventory, building, equipment, and disposal
∎ Maintain complete stock of all office supplies and accuracy of inventory
∎ Connect with building vendors to carry out fixes and improvements
∎ Take up other duties as assigned (travel arrangements, schedules etc.)

Additional Requirements:
∎ 1-3 years of relevant service experience is preferred.
∎ Familiarity with office machines (e.g. fax, printer etc.)
∎ Knowledge of office management and basic bookkeeping
∎ Proficient in English (oral and written)
∎ Enough knowledge of MS Office
∎ Strong communication and people skills
∎ Good organizational and multi-tasking abilities
∎ Problem-solving skills
∎ Customer service orientation
