Responsibilities & Context:
∎ Office Management: Oversee the day-to-day operations of the office, ensuring a productive and efficient work environment. This includes managing office supplies, equipment maintenance, and office space organization.
∎ Documentation and Record Keeping: Maintain accurate and organized records, including files, documents, and correspondence. Ensure that all documentation is up-to-date and easily accessible.
∎ Communication: Serve as a point of contact for internal and external communications. This includes managing incoming calls, emails, and other correspondence, as well as scheduling meetings and appointments.
∎ Support to Management: Provide administrative support to the management team, including preparing reports, handling confidential information, and coordinating meetings and events.
∎ Coordination: Coordinate with different departments to facilitate smooth workflow and ensure that administrative tasks are completed efficiently. This includes liaising with HR, finance, and other departments as needed.
∎ Travel Arrangements: Arrange travel accommodations, itineraries, and necessary documentation for staff and management when required.
∎ Event Planning: Assist in organizing company events, meetings, and conferences, ensuring that all logistical details are managed effectively.
∎ Financial Administration: Assist with basic financial tasks such as processing invoices, managing petty cash, and handling expense reports.
∎ Compliance: Ensure that the office operates in compliance with company policies and procedures, as well as relevant legal regulations.
∎ Education: Bachelor’s degree in Business Administration, Management, or a related field.
∎ Experience: 1 year of previous experience in an administrative or office management role is highly desirable. But Freshers are also encouraged to apply.
∎ Skills: Strong organizational and multitasking abilities, excellent communication skills (both written and verbal), proficiency in MS Office (Word, Excel, PowerPoint), and familiarity with office equipment and software.
∎ Personal Attributes: High level of integrity and discretion, strong attention to detail, proactive attitude, and ability to work under pressure.
