Educational Requirements:
∎ Master of Science (MSc), Bachelor degree in any discipline
Experience Requirements:
∎ At least 2 year(s)
Job Responsibilities:
∎ Responsible for the timely, accurate and efficient preparation and management of documents;
∎ Control the numbering, sorting, filing, storing and retrieval of both electronic and hard copy documents produced by technical teams, projects or departments;
∎ Set up, copy, scan and store documents;
∎ Create templates;
∎ Manage requests for documentation;
∎ File documents in physical and digital records and ensure appropriate storage;
∎ Review and maintain the accuracy of the records, editing where necessary to ensure they are up to date;
∎ To liaise with and distribute project related information with all levels of the project team and potentially external parties;
∎ Manage the processes around documentation within the organization;
∎ Maintain confidentiality around sensitive documentation
∎ Prepare ad-hoc reports on projects when required;
∎ Finish the other work assigned by superior leadership arrangement.
Additional Requirements:
∎ Both males and females are allowed to apply
∎ At least 2 years’ experience in document controlling and strong IT skills in MS office including outlook, excel and word;
∎ Good attention to details;
∎ The ability to multitask and work under pressure;
∎ Highly organized;
∎ Excellent communication skills, fluent in speaking English and skilled in writing official letters and email in English;
∎ Proficient typing skills;
∎ Minute taking skills;
∎ Capable of speaking Chinese is a plus;
∎ Experienced in document management software like Aconex or other software is a plus.
