Responsibilities & Context:

Position Summary:

The Deputy Manager – Hospital Operations will manage day-to-day activities at Bangladesh Eye Hospital Ltd., ensuring smooth hospital operations, quality patient services, effective staff management, and compliance with hospital policies.

 Key Responsibilities

1. Operational Management

  • Supervise and monitor daily hospital operations, ensuring smooth functioning of outpatient, inpatient, pharmacy, optics, investigation, and support services.

  • Maintain high service quality standards by reducing patient waiting times and ensuring timely delivery of both medical and administrative services.

  • Coordinate with clinical and non-clinical teams to streamline workflows across departments.

  • Anticipate operational challenges and implement proactive solutions to ensure continuity of care.

2. Patient Care & Service Excellence

  • Ensure patients receive courteous, professional, and timely services at every touch-point.

  • Address and resolve patient complaints and feedback with empathy and professionalism.

  • Implement patient safety protocols and promote a patient-centric care environment.

3. Administrative & Compliance Oversight

  • Enforce compliance with hospital policies, SOPs, and healthcare regulations.

  • Ensure accurate and timely maintenance of hospital records, registers, and MIS reports.

  • Support internal and external audits, inspections, and accreditation processes.

4. Staff Management & Development

  • Prepare and manage staff duty rosters to ensure adequate coverage across shifts.

  • Supervise, guide, and evaluate the performance of operational and administrative staff.

  • Conduct training, mentoring, and professional development sessions to enhance staff capability.

  • Foster a culture of teamwork, accountability, and professional discipline.

5. Financial & Resource Management

  • Monitor branch revenue, cost control measures, and overall financial performance.

  • Optimize utilization of hospital resources, including manpower, equipment, and supplies.

  • Coordinate with procurement and inventory teams to ensure continuous availability of medicines, consumables, and critical supplies.

6. Supply Chain, Logistics & Procurement Oversight

  • Supervise end-to-end hospital supply chain operations, ensuring timely procurement and distribution of medical and non-medical supplies.

  • Oversee logistics management, including vendor coordination, stock movement, and delivery efficiency.

  • Manage procurement processes to ensure cost-effectiveness, quality, and timely availability of critical materials and equipment.

  • Supervise the optics (spectacles) shop and medicine shop, ensuring adequate stock levels, compliance with quality standards, and smooth customer service.

  • Implement inventory control systems to minimize shortages, wastage, and pilferage.

7. Reporting & Communication

  • Prepare and present periodic operational reports to the Management.

  • Highlight operational achievements, challenges, and areas for improvement.

  • Act as a communication bridge between hospital management, staff, and patients.

8. Strategic & Business Support

  • Support the implementation of hospital growth strategies, patient engagement, and community outreach initiatives.

  • Contribute to decision-making on introduction of new services, and process improvements.

  • Recommend ideas to improve efficiency, cost-effectiveness, and patient satisfaction.
