Personal Secretary, Secretarial tasks
Job Responsibilities:
∎ 1. Perform necessary administrative tasks to support the regular work and activities of the above mentioned office.
∎ 2. Assist in drafting, editing, and preparing various documents, presentations, reports, letters, and other writing correspondence as required.
∎ 3. Maintain and organize files and records for the office of the Executive Director.
∎ 4. Coordinate official arrangements for booking flights, hotels, and transportation as required.
∎ 5. Take messages, calls, and information as required and respond to them in a timely manner, in consultation with the Executive Director.
∎ 6. Schedule regular business appointments, both internal and external, for the Executive Director and Founder.
∎ 7. Arrange meetings, prepare agendas, take minutes, and distribute meeting materials as necessary.
∎ 8. Coordinate regular documents, cheques (ins-outs) that require approval by the respective supervisor.
∎ 9. Handle and manage information that needs to be transferred internal or external and ensure appropriate dissemination of information/message, as required.
∎ 10. Arrange delegation meetings, internal and external, as required by the office above.
∎ 11. Keep necessary files and manage important documents, cheques, office orders, and any other official documents that require signatures by the office.
Additional Requirements:
∎ Age 25 to 35 years
∎ Both males and females are allowed to apply
∎ Proven experience as a personal secretary or executive assistant
∎ Strong organizational skills and attention to detail
∎ Excellent verbal and written communication skills in both Bangla & English
∎ Proficiency in Microsoft Office and other relevant software programs
∎ Ability to work independently and manage multiple tasks and priorities
∎ Adhere with discretion and reliability handling sensitive information
∎ Strong interpersonal skills and the ability to work collaboratively with others
∎ Flexibility and adaptability to changing priorities and deadlines
∎ Ability to work with multidisciplinary team
