Job Purpose

The Conversion Officer plays a key role in supporting students and education agents throughout the post-offer and conversion journey. The successful candidate will be responsible for managing the complete conversion process from offer stage to enrolment, ensuring students receive accurate guidance, timely follow-ups, and professional support at every stage.

This role requires strong communication skills, excellent attention to detail, and the ability to work in a fast-paced environment while handling multiple student cases simultaneously.

The Conversion Officer will work closely with partner universities and internal teams to improve conversion performance, maintain compliance standards, and support the organisation in achieving recruitment and enrolment targets.

Essential Skills and Experience:

  • Fluent in spoken and written English.

  • Minimum 2–3 years of experience in student conversion, admissions, compliance, or a similar role within the international education sector.

  • Strong understanding of UK university admissions and visa processes.

  • Experience managing university portals, CRM systems, and databases.

  • Excellent organisational and time management skills.

  • Strong attention to detail and ability to manage multiple priorities.

  • Proficient in Microsoft Office and Google Workspace.

  • Excellent interpersonal and customer service skills.

  • Ability to work effectively both independently and within a team.

  • Strong problem-solving and decision-making abilities.

  • Comfortable working in a target-driven and fast-paced environment.

  • High level of professionalism, integrity, and confidentiality.

Desirable Skills and Experience:

  • Understanding of international education systems and admissions policies.

  • Experience conducting student interviews or mock interviews.

  • Knowledge of UKVI compliance requirements.

  • Familiarity with student recruitment databases and CRM systems.

  • Experience working with global agents and multicultural teams.

 

Education Requirement:  Bachelor’s degree in any discipline.

Your Responsibilities:

The objectives related to the job role of Conversion Officer shall include, but not be limited to:

Offer & Application Management

  • Process and upload offer letters into the internal database and CRM systems.

  • Update student records accurately and maintain complete documentation.

  • Review offer conditions and create requirement checklists for students and agents.

  • Create and manage follow-up tasks for pending actions and deadlines.

  • Send offers, updates, and important communications to agents and students.

  • Monitor application progress and ensure timely submission of required documents.

Student Conversion & CAS Management

  • Follow up with internal teams and students regarding pending conditions, deposits, and supporting documents.

  • Coordinate requests for unconditional offers with partner universities.

  • Collect and verify financial documents, bank statements, TB certificates, and payment proofs.

  • Manage the full CAS process, including:

    • Pre-CAS documentation checks

    • CAS interviews and preparation

    • Draft CAS verification

    • Final CAS issuance and sharing

    • Maintain regular communication with universities regarding CAS timelines and outstanding requirements.

Interview Preparation & Student Support

  • Conduct mock interviews and assess students’ English communication skills.

  • Provide guidance for university interviews and UKVI credibility interviews.

  • Support students with document preparation and compliance requirements.

  • Advise students on visa application procedures and required documentation.

Provide clear guidance regarding enrolment procedures, payment deadlines, and arrival requirements.

Visa & Enrolment Support

  • Follow up on visa application progress and updates.

  • Collect visa copies, travel details, and BRP information.

  • Coordinate with universities regarding enrolment confirmations and compliance updates.

  • Ensure all required compliance documents are collected and properly stored.

Refund & Compliance Management

  • Manage refund requests and maintain regular follow-up with universities until resolution.

  • Ensure student records and documentation remain compliant with internal and university policies.

Communication & Coordination

  • Liaise regularly with universities, agents, and internal teams.

  • Support the wider operations team during peak intake periods.

  • Contribute to improving conversion processes and operational efficiency.

  • Maintain professional communication standards in all interactions.

  • Escalate complex cases, compliance concerns, or delays to senior management.

  • Maintain confidentiality and accuracy while handling student information.
