Job Responsibilities:
∎ Administration:
∎ Responsibility of management and efficient utilization of Friendship Assets and properties (Movement/Update) as per policy guidelines.
∎ Coordinate and assist to prepare Contract, Lease Agreement, TOR, Order memo
∎ Arrange meetings and events as per the required schedule. Ensure all practical arrangements are made for conferences, workshops, meetings and visits.
∎ Provide all necessary Office Admin, circular and logistic support (including travel and accommodation arrangement) as per instruction of HO Admin.
∎ Organize and conduct internal and external co-ordination and communication between Head office, projects and other related agencies.
∎ Provide admin support and monitor transport management, i.e. Motor cycle usage, office vehicle including hired vehicle.
∎ Ensure all Vehicles are maintained as per Friendship M.V. Policy. Report to Head Office on monthly basis
∎ As per head office guidance arrange food and accommodation facilities for residence base sector/program staff
∎ Coordinate and maintain closely with local finance, HR and Procurement staff
∎ Coordinate and arrange visit of HO staff at Cox’sbazar and Ukhiya including accommodation, food and transportation (once ask for)
∎ Manage the attendance at office
∎ Inform HR related matter to reporting line (or act on his instructions)
∎ Coordination with local GoB and other stakeholders (excluding inside camp area & RRRC):
∎ Maintain good coordination with the GoB officials, local govt and public representative.
∎ Ensure participation of GoB counterpart in event organizes.
∎ Attend GoB meeting where and when appropriate.
∎ Jointly with project manager organized field visit of GoB Counterparts and report to immediate supervisor.
∎ Security Assessment:
∎ Conduct assessments of security needs of offices including natural threats, staff safety, local law and order
∎ Share findings with Project staff and reporting manager
∎ Perform firefighting training in general at offices
∎ To ensure that the all project building and infrastructures are protected, clean and tidy at all times.
∎ Crisis Management:
∎ Investigate issues by visiting or in coordination with project
∎ Provide support to resolve the issue with locals and project staff.
∎ Update supervisor about issue and plan for long term solution if needed
∎ Emergency Support:
∎ Receive notification of natural and manmade disasters (including fires) in Friendship working areas. Inform supervisor and or senior management of immediate action plan and assemble emergency team
∎ Obtain necessary cash, equipment, transport, supplies
∎ Go to affected area and provide direct assistance
∎ Ensure safety and security of organization asset and staff
∎ Prepare narrative and expense report on emergency support provided and submits to immediate supervisor.
∎ Other:
∎ Maintain close with local media as instruction from HO
Additional Requirements:
∎ Age 27 to 35 years
∎ At least 5 years working experience in development field, preference will be given who have at least 3 years managerial position.
∎ Have the experience to organize workshops, seminars, public hearing/ community score cards, Capacity development training on AIGA, leadership, service delivery etc.
∎ English and Bangla report writing.
∎ Excellent computer skills
∎ Strong interpersonal skills
