Job Context:
∎ This position is responsible to lead, oversee and directs the staff responsible for the company`s administrative services and to supervise daily support operations of the company and plan the most efficient administrative procedures.
∎ The goal is to ensure all support activities are carried on efficiently and effectively to allow the other operations to function properly.
Job Responsibilities:
∎ Collaborates with all management staff to identify and deliver the required administrative support operations for the company.
∎ Set goals and deadlines for the department.
∎ Drafts and distributes statistical reports, analyses, and exhibits to company stakeholders and when required, to regulatory and government agencies.
∎ Develops, evaluates, and maintains the management information system (MIS).
∎ Maintains the organization's administrative policies and procedures manual.
∎ Ensures the organization's compliance with applicable health, building, zoning, and safety licensing and certification requirements.
∎ Ensures a safe, secure, and well-maintained facility that meets environmental, health, and security standards.
∎ Serves as a member of the organization's key administrative decision-making and planning body.
∎ Collaborates with other management staff to draft and implement an annual administrative budget.
∎ Keep liaison with government & private office e.g. RAJUK, DCC, BPGMEA, BGMEA, BEPZA, FBCCI Passport & Visa, Police Station, Civil & Criminal Court, BRTA, PDB, REB, WASA, Bank, Boiler, Environment related Office etc.
∎ Plan and implement all sorts of precautionary measures in order to ensure that the factory and its premises/ properties are secure from the hazards of fire, pilferage, trespassing etc.
∎ Transport arrangement & maintenance.
∎ Maintain liaison & follow-up for new construction related activities
∎ Crisis management in Factory e.g. law & order situation, Accident & Fire Fighting, Boilers, ETP, Generator, Electric Substation.
∎ Prepare and review operational reports and schedules to ensure accuracy and efficiency.
∎ To responsible in office management & establishment, Housekeeping, Canteen management, Warehouse/ Store management.
∎ Monitor & control disciplinary issues relating to workers & staffs Grievance & in disciplinary activities and manage properly by keeping proper records and documents.
∎ Should have handle, manage & resolution of employees conflict as well as grievance issues.
∎ Manage, maintain and ensure a good labor-management relation.
∎ Handle, control & manage security personnel and Admin Staff.
∎ Ensure all necessary & applicable amenities/ entertainment for Officers, Staffs & Workers.
∎ Monitor, Control and ensure foreign officials and guests Accommodation, Transportation, Food and Amenities facilities as per company policy.
∎ Keep record of official accessories/ stationeries and its uses, maintenance & management.
∎ Control and manage company's transport pool.
∎ Ensure that all documents, registrations, permissions are regularly updated and kept available at the centered.
∎ Supervises clerical and administrative personnel by communicating job expectations, appraising job results and maintain discipline within the department.
∎ Guide and motivate the staff members under the division in order to ensure close coordination, cooperation.
∎ To achieve short term and long term administration goal of the organization.
∎ Develop various administrative strategies to effectively run the organization.
∎ Identify the key performance components of each job and set proper performance standards of admin department.

∎ 10-12 years of relevant working experience essentially at least three years in similar position.
∎ Retired armed forces Officer will get preference.
∎ Scheduling and planning, Administrative writing and reporting skills, People leadership, Innovation and Analytical Ability.
