∎ Tetra Tech is recruiting for an Administrative Officer/Executive Secretary for USAID Bangladesh Advancing Development and Growth through Energy (BADGE) new energy activity, to be responsible for supporting various administrative activities for the BADGE office. This position is full-time, and hiring is contingent upon USAID approval. Interested candidates must be eligible to work in Bangladesh. Tetra Tech values a diverse workplace and gender equality.
∎ The mission of BADGE is to improve energy security and resilience in Bangladesh by improving access to affordable, reliable, and sustainable energy systems and promoting transparent and efficient energy markets. BADGE will advance private sector investment, promote policy and regulatory environments favorable to the sector and investors, support entrepreneurs developing and distributing energy technologies, and convene platforms to share best practices in the management of the energy sector. Job Responsibilities:
∎ Receive and provide guidance to visitors arriving at the office.
∎ Assist the Chief of Party (COP) and Deputy Chief of Party (DCOP) in maintaining meeting schedules, drafting correspondence letters, and other assigned duties.
∎ Liaise with the home office on weekly project management and operations meetings
∎ Support logistics and budget planning for project meetings, retreats, team conferences, training, and office events to include scheduling, online meeting setup, reviewing, editing, and printing materials, travel arrangements, event meals, participant lists, etc.
∎ Take meeting notes and prepare the first draft of the meeting minutes.
∎ Support in travel arrangements including international and domestic travel, hotels, transportation for BADGE project team.
∎ Management of BADGE office vehicles
∎ Maintain and keep up-to-date travel trackers and event schedules.
∎ Maintain the inventory of office supplies, monthly stock report, and raise procurement requisitions for office supplies when needed, ensuring delivery.
∎ Provide general logistics and administrative support to BADGE staff.
∎ Assist in record keeping of deliverables in hard and electronic copy
∎ Perform other relevant duties as assigned.
Additional Requirements:
∎ 3+ years' experience as an administrative assistant and/or similar role
∎ Well-conversed with office systems and a higher level of computer literacy
∎ The applicant must be familiar with work-related platforms such as Google Meet and Microsoft Teams.
∎ Fluency in English with strong oral and written communication skills
∎ Valued but not required KSAs: USAID project experience.
∎ Strong interpersonal skills and team player.
∎ Physical demands & work environment: Office setting and occasional field travel
