Job Context:
∎ The Supply Chain Assistant will assist with procurement related tasks. He/She will ensure these services are responsive to programme needs and give quality and timely support to the program. This role must familiarize him/herself with the IRC procurement manual as well as programme components and activities.
∎ Job Location: Ukhiya, Cox`s Bazar
∎ Contract Length: 1 year (with possibility of extension)
Job Responsibilities:
∎ Follow all IRC procurement policies and standards, and goods/services are procured efficiently;
∎ Responsible for all the procurement of goods and services in Ukhiya as required by the programs, operations and the field needs as per assigned by Sr. SC Officer.
∎ Do procurements according to the procurement plans shared by the program in the field and assist the programs with all the procurements and delivery goods.
∎ Assist the Sr. SCO in creating and maintaining a supplier data base for Ukhiya and work to identify vendors for the MPA/MSA’s;
∎ Follow up with suppliers for timely delivery of goods or services ordered; assist in returns/exchanges/warranty repairs.
∎ Monitor supplier performance and report to Sr. SCO for any issue arise and document supplier performance related issues.
∎ Involve in supplier due diligence process with procurement committee and according to instruction of Sr. SCO.
∎ Follow up on supplier payment and ensue timely payment request is submitted to finance in a timely manner.
∎ Keep proper record of payment request submission to finance and escalate issues to line manager if payment is delayed.
∎ Coordinate with supplier, programme and respective team/ person if there is any query on payment request documents.
∎ Do procurement file archiving and scan all complete documents before submission to finance and keep the record uploaded in IRC box.
∎ Update the program team and the operations on timely manner on the progress of the procurements being done in the field.
∎ Share on weekly basis the PRTs with the program team and track the procurements where necessary.
∎ Share weekly procurements reports with the Sr. SCO and highlight challenges where applicable.
Additional Requirements:
∎ Experience in procurement, logistics and finance management sector for minimum 2 years.
∎ Experience of working with UN or Non-Governmental Organizations preferred but not essential;
∎ Experience working in a situation where there are conflicting deadlines and work has to be prioritized
∎ Very Good working skill in MS Excel and MS Word; familiarity with Outlook desirable;
∎ Very good language skill in English both in written and spoken;
∎ Good interpersonal and team skills;
∎ Good team work and able to manage stress.
∎ Commitment to and understanding of IRC’s aims, values and principles
∎ Fluent in English and Bangla
Salary: Tk. 42000 (Monthly)
