Job Context:
∎ An opportunity has arisen for suitably qualified, experienced and motivated staff for the position of Executive Secretary, to be based at our Corporate Head Office in Ajman. This role will report directly to the Chairman & Managing Director Of AL Haramain Perfumes Group.
∎ License: Preferred
∎ MALE CANDIDATES will be preferred for this role.
∎ Candidates must be willing to work in the Ajman,UAE.

Additional Requirements:
∎ Strong interpersonal, communication skills in English, and additional languages will be considered favorably.
∎ Managing daily, weekly, and monthly agenda, and arranging meetings and appointments of the Chairman & MD.
∎ To maintain Meeting minutes, agendas as per MD's Requirement.
∎ Remind all agendas relating to any type of trip, visits, meeting fixation/cancellation, documents preparation/ submission, mail communication.
∎ To maintain co-ordination among different business division & department of the company and coordinate with others on behalf of Managing Director.
∎ Any other assignment or tasks are given by the Managing Director.
∎ Excellent organizational skills, diary management, time management skills, and the ability to multi-task.
∎ Be organized.
∎ Keep copies of all correspondence.
∎ Check quorum is met for meetings.
∎ Respect confidentiality.
∎ Work closely with the Managing Director.
∎ Make it easy for others to take over by keeping clear records.
∎ Prepare for meetings well in advance.
∎ Summarize discussions effectively.
∎ Keep people informed.
∎ Experience in preparing official letters, contracts, and agreements.
∎ Managing & maintaining commercial Invoices, accounts, and other documents.
∎ Basic knowledge in international logistics would be highly advantageous
∎ Proficiency in MS Office packages is a must.
∎ Well-groomed, with strong business acumen, and able to effectively communicate with C-Level executives around the world.
∎ 3 - 5 years relevant work experience, preferably within a Perfume / Cosmetics Manufacturing environment for a multi-national company.
