Job Responsibilities:
∎ Provide administrative support and ensure the smooth and efficient operation of the SHN HQ and Regional office.
∎ Oversee all service & maintenance contracts, monitor and manage office supplies, including stationery and other consumables.
∎ Assist concern manager in tracking HQ and Regional fixed assets, movements of assets, contracts, MoUs etc.
∎ Provide necessary assistance in preparing Purchase Request, Purchase Order and coordinate with vendors for timely delivery of service.
∎ Perform reconciliation of vendor invoice, good receive notes, sort incoming supplier quotations, invoices and payment requests etc.
∎ Assist with the organization of meetings and events on and off site as directed, which may include helping Admin/Procurement to coordinate arrangements for meetings, visits, workshops and conferences etc.
∎ Oversee all flight bookings and travel arrangements for SHN employees.
∎ Ensure visitors to the office are received with high standard of courtesy and hospitality and direct them appropriately
∎ File and retrieve legal documents, administrative records, all invoices, payments and receipts with purchase requisition etc.
∎ Assist to develop and implement logistics/planning processes for ensuring smooth sourcing and delivery of products and services to meet regional and head office demands.
∎ Ensure warranty issues/claims are handled in an efficient manner.
∎ Develop and maintain effective flow of information to track the work in process of the procurement process.
∎ Ensure internal and external compliance in administration and procurement processes.
∎ Work as a team player with cross functions for smooth operation
Additional Requirements:
∎ Bachelor’s degree and minimum 3-5 years of relevant professional work experience in leading organization or in large group of companies.
∎ Preference will be given to the candidate having multi-tasking abilities and dynamic attitude.
∎ Skilled in Administration and Procurement areas in large corporate/NGOs.
∎ Excellent interpersonal skills with a proven ability to work effectively with multidimensional teams.
∎ Must be able to travel extensively within the country under tight deadline.
∎ Willingness to accept and discharge substantial responsibilities, able to prioritize work assignments to meet deadlines, and to exercise professional judgment.
∎ Proficient in Microsoft programs (i.e. Word, Excel and PowerPoint)
∎ Fluency in both Bangla and English.
