Responsibilities & Context:
∎ Sourcing and Procurement of Capital machinery/Spare parts from foreign market.
∎ Price negotiation with supplier and prepare comparative statement, Purchase order by using ERP system for taking higher management approval.
∎ Demand forecasting and current stock position analysis of spare parts plus determine time period for issuing of new order.
∎ Monitor inventory levels and manage stock replenishment to optimize supply chain efficiency.
∎ Implement & follow up the foreign requisitions for spare parts & machinery supplies within the approved budgets that ensure on time delivery with the minimum costs for all items within purchasing cycle.
∎ Negotiate with suppliers, if needed, to get the most appropriate prices & conditions.
∎ Monitor the contract preparation and order placement in the right time according purchasing cycle.
∎ Handle and settle any claims for any unaccepted items.
∎ Synchronize and coordinate works & activities with all other Sections / Departments.
∎ Check all tenders and purchase orders documents' specifications for spare parts, materials, equipment’s, technical services and consultancy agreements.
∎ Analyze the project requirements to ensure that the materials/suppliers selected are in line/compliance with company policy.
∎ Close follow up with forwarder regarding various cargo position and take necessary steps when situation arise.
∎ Checking correctness of C& F bills & freight forwarders invoice.
∎ Smoothly verify Tariff, VAT, Tax and other customs and excise as and when required.
∎ Confirm products packages, seal, coding, HS Code and follow international Incoterms.
∎ Examine returned parts for defects, and exchange defective parts or refund money.
∎ Determine replacement parts required, according to inspections of old parts, customer requests, or customers' descriptions of malfunctions.
∎ Monitoring of minimum stock level & Total Inventory.
∎ Issue purchase orders and follow up on the supplier’s payment.
∎ Negotiate and estimate needs a budget for the implementation.
∎ Manage suppliers to meet objectives related to cost, delivery performance, schedule, and quality.
∎ Perform regular performance review with suppliers to drive continuous improvements.
∎ Analyze suppliers in order to select the most suitable suppliers who are able to deliver high-quality products at competitive pricing.
∎ Define and maintain documented category and supplier strategies using market data.
∎ Manage relationships with key stakeholders, including customs officials, freight forwarders, and suppliers.
∎ Create detailed reports on import performance metrics to inform senior management decisions.
