Job Responsibilities:
∎ Main Responsibilities:
∎ Prepare the budget of the liaison office every year and present to country manager for approval. Review budget every 6 months
∎ Ensure payment in due time of bills related to the office and initiate monthly salary payment
∎ Provide all necessary information to the accountant cabinet and prepare necessary document for yearly audits
∎ Prepare and share with Country Manager and Head Office the financial figures of the office every month
∎ ADMIN:
∎ Negotiate the best rate with service providers.
∎ Optimize daily office organization and ensure administrative tasks are correctly performed in due time
∎ Maintain and update personal information in secure, accurate and organized way both in soft & hard form for entire staff
∎ Extend full administrative support to other departments for smooth operation in the office
∎ Take care of all legal requirement regarding the Liaison Office
∎ Take care of the foreign employees official paperwork
∎ Organize travel and lodging arrangements for both corporate office staff and foreign visitors
∎ Communicate to Government & non-Government office for office purpose
∎ Makes sure the office equipments are properly maintained at all time
∎ Supervise the stock of stationary and grocery
∎ Ensure all necessary contracts are updated and renewed when needed
∎ Maintain the right level of partnership with our service providers and ensure the right level of service. Ability to always provide solutions or replacement of service providers
∎ Manage the Front Desk and administration related staff : recruits, coaches, assesses, controls, organizes his/her team
∎ HR:
∎ Share and follow the HR annual planning with the Managers
∎ Support the managers and proceed to the recruitment accordingly
∎ Develop and maintain any kind of relevant documentation & policies related to the HR with the approval of CR
∎ Implement the necessary training (internal and external)
∎ Implement the HR project of the company
∎ Update and provide information regarding the Welfare Facilities of the office to the employees
∎ Suggest and implement organizational improvements for better efficiency and working environment
∎ Enhance employee engagement: initiatives and post survey activities.
