Job Context:
∎ Community Partners International (CPI) is a U.S.-based nonprofit organization that works with local partner organization Green Hill to expand access to quality health services and generate the resources, local capacity, and coordination necessary for partners and the people to meet their own health and community needs.
∎ The Logistics Coordinator is responsible for the overall planning, organizing, supervising the implementation, and reporting of all logistics activities. Based on organizational and program needs and with respect to GH-CPIs logistics/ security policies and procedures, he/she will set the objectives within the projected time frame and budget and work towards their implementation. The Logistics Coordinator will be responsible for the security and management of the organization`s vehicle fleet, provide input in the development of Fleet management policy, security policy guidelines, and standard operating procedures, maintain fleet database/ reconcile fuel consumption. The Logistics Coordinator reports to the Operations Manager and is technically supported by HQ.
Job Responsibilities:
∎ COORDINATION:
∎ Oversees all logistics-related activities including vendor engagement/ enlistment, procurement process, supply chain, assets, warehouse, and ensures their security in accordance with policies and procedures.
∎ HUMAN RESOURCE
∎ The Logistics Coordinator ensures that the logistics department is staffed to adequately support by anticipating the need for increase/ reduction of staff, recruiting appropriate staff nationally, and ensuring that all logistics staff is adequately trained.
∎ Manages and provides technical support to other departments as needed.
∎ PROPERTY AND EQUIPMENT:
∎ Oversees the maintenance/ construction and management of premises, including offices, warehouses, and guesthouses.
∎ Ensures that GH-CPI property, including the fleet & fleet management, means of communication, and other equipment are purchased, used, replaced, and disposed of, and documented in accordance with GH-CPI policies and procedures.
∎ SECURITY
∎ Continuously monitors and analyses the security context in regards to fleet management/ premises.
∎ With guidance from the Operations Manager and in accordance with GH-CPI security guidelines, the Logistics Coordinator develops, implements, monitors, and updates logistics and security policies that ensure the security of GH-CPI staff, premises, materials, and assets and participates in the management of security incidents.
∎ REPORTING
∎ Organizes and monitors the reporting within the country ensuring the preparation and submission of adequate and timely reports to the Operations Manager and Senior Management Team/Headquarters regarding regular and emergency logistics activities, stocks, in-kind donations, transport, equipment, communications, and security.
∎ REPRESENTATION
∎ Represents the logistics team internally in cross-department coordination, meetings, and activities.
∎ REGULAR RESPONSIBILITIES:
∎ Provide the technical oversight, input, and supervision to coordinate the staff support to, delivery of, and implementation of, all logistics support systems according to GH-CPI Logistics policies and procedures.
∎ Provide planning support, advice, and updates to those making a procurement request, process and manage the procurement process in accordance with GH-CPI policies and procedures, in a transparent, accountable, efficient, and cost-effective manner.
∎ Ensure that local market surveys are regularly carried out, to ensure a full knowledge of the availability and price of local items. Ensure that all procurements are tracked and recorded to identify items that should be part of a pre-approved tender process, and ensure that open and free competition for procurements is adhered to.
∎ Proactively coordinate and direct the management and tracking of all medical and non-medical supplies, equipment, materiel, through receipts, storage, and onward distribution and coordination to storage/warehouse with all supporting documents.
∎ Follow standard warehouse practices and record-keeping to full audit trail standard;
∎ ensure the correct storage, rotation of stock, and proper structural maintenance of warehouse(s) to keep all stocks in good condition;
∎ Generate accurate, clear and concise reports and if necessary attend management and audit forums to provide clarifications and pertinent evidence
∎ Fleet Management:
∎ Maintain accurate filing systems, with documented and supported records of action for audit purposes, and submit weekly and monthly logistics reports to the Operations Manager
∎ Continually reviews materials costs, transportation rates, and/or the prices of services to keep costs down where possible
∎ Resolve problems associated with transportation and delivery case by case closely working with suppliers and programs.
Additional Requirements:
∎ Minimum 3 years of evidence-based practical experience in supply chain management (procurement, tendering, contracting, clearance, transport, warehousing, etc.), fleet management and asset management, distribution support especially in procurement and logistics in INGO/NGO's.
∎ Experience working in the local markets and vendors will be an added value.
∎ Proven record of experience in the management of logistics at a coordination level.
∎ Prior experience in logistics software solutions (desired).
∎ Advance skills in g-suite account/google documents
Salary: Tk. 75000 - 85000 (Monthly)
