Responsibilities & Context:
∎ Administrative Support: Provide high-level administrative support to top management, including managing calendars, scheduling meetings, coordinating travel arrangements and preparing reports.
∎ Communication: Serve as the point of contact between top management and internal/external stakeholders. Handle confidential information with discretion.
∎ Meeting Coordination: Organize and prepare for meetings, including gathering documents and attending to logistics. Prepare agendas, take meeting minutes, and follow up on action items.
∎ Project Management: Assist in the planning and execution of special projects and initiatives led by top management. Track progress and ensure timely completion of tasks.
∎ Document Management: Prepare, edit, and distribute various documents, presentations, and reports. Maintain electronic and paper filing systems.
∎ Event Planning: Coordinate and manage company events, conferences, and executive off-sites.
∎ Research: Conduct research and compile data to support executive decision-making. Prepare summaries and reports as needed.
∎ Relationship Management: Build and maintain strong relationships with internal departments and external partners to facilitate smooth operations.
∎ Problem-Solving: Anticipate needs and proactively address issues. Provide creative solutions to administrative challenges.
∎ Carry out any task assigned by the top management.
∎ The Coordinator to Top Management plays a crucial role in supporting the top management of the company. This role requires a highly organized, proactive and detail-oriented individual who can manage multiple tasks together and provide comprehensive administrative support for the supervisor. The coordinator will act as a liaison between the supervisor and concerns of various departments and ensuring smooth communication and efficient operations.
