Job Responsibilities:
∎ Office Administration:
∎ Supervise and manage administrative staff, ensuring they perform their duties effectively and efficiently.
∎ Coordinate and oversee office activities, such as record-keeping, filing systems, and mail distribution.
∎ Manage office supplies inventory and ensure timely replenishment.
∎ Maintain a clean, organized, and well-functioning office environment.
∎ Communication and Correspondence:
∎ Handle internal and external communications, including emails, phone calls, and written correspondence.
∎ Facilitate communication between different departments and teams within the organization.
∎ Draft, edit, and proofread official documents, reports, and other materials.
∎ Event Coordination:
∎ Assist in organizing events, meetings, and workshops, including booking venues, arranging logistics, and coordinating with participants.
∎ Supervision:
∎ Supervise the support staff under SAJIDA Foundation and also the staff from vendor.
∎ Financial Support:
∎ Work closely with the finance department to handle basic financial tasks, such as petty cash management and expense reporting.
∎ Office Technology:
∎ Ensure office equipment, such as computers, printers, and telephones, are well-maintained and functioning properly.
∎ Assist staff with basic technical issues and liaise with IT support when necessary.
∎ Compliance and Policy Adherence:
∎ Ensure adherence to company policies, procedures, and guidelines.
∎ Assist in maintaining compliance with legal and regulatory requirements.
∎ Miscellaneous Support:
∎ Provide general administrative support to various departments as needed.
∎ Handle ad-hoc tasks and special projects assigned by management.
Additional Requirements:
∎ Age 21 to 45 years
∎ Bachelor's degree in Business Administration, Management, or a related field.
∎ 5 years of Proven experience in office management or administrative coordination.
∎ Excellent organizational and multitasking skills.
∎ Strong communication and interpersonal abilities.
∎ Proficiency in computer applications, including Microsoft Office Suite.
∎ Attention to detail and problem-solving skills.
∎ Ability to work independently and as part of a team.
∎ Knowledge of local labor laws and regulations is a plus.
