∎ · The applicant having skills in the following area(s) will have added advantage:MS Project, MS PowerPoint, MS Excel, Report Writing, Presentation Preparation, AutoCAD, etc.
Responsibilities & Context:
∎ 1. Verify all project work completed at the site against approved documents to ensure accurate billing.
∎ 2. Conduct physical verification of petty cash expenses (as planned) made at the site, ensuring alignment with approved documents.
∎ 3. Perform physical bill checks at sites (as necessary), verifying compliance with work orders, agreements, or contracts and all associated terms and conditions.
∎ 4. Record all bills received from sites, including dates of receipt and forwarding to the audit department, in the tracking sheet.
∎ 5. Obtain approval for subcontractor bills from relevant authorities according to Standard Operating Procedures (SOP).
∎ 6. Maintain effective communication with vendors and collaborate with Accounts and Audit Departments to ensure timely payment of bills.
∎ 7. Archive scanned copies of billing documents for long-term retention and easy accessibility.
∎ 8. Adjust advances on a pro-rata basis per terms and maintain accurate records of adjustments.
∎ 9. Prepare weekly billing reports for all contractors and distribute reports to project stakeholders to ensure transparency and accountability.
∎ 10.Carry out any other jobs, as assigned by management.
