∎ Position Overview: As the Administration Manager, you will be responsible for the management, coordination, and optimization of all administrative activities across our global offices. You will ensure the efficient functioning of day-to-day operations while providing high-level support to senior management and all departments within the organization. This role requires a strong leader who can drive operational excellence, foster collaboration, and maintain the integrity of administrative processes while supporting the organization’s strategic goals. You will be instrumental in ensuring that our administrative operations meet international standards of professionalism and efficiency.
∎ Key Responsibilities:
∎ • Leadership & Oversight: Lead the administration team, providing direction, mentorship, and support to ensure the efficient execution of all administrative tasks. Ensure that all administrative processes are aligned with the company’s global strategy and operational objectives.
∎ • Operational Efficiency: Manage the daily operations of the administration department, including office management, facilities management, procurement, and logistics. Continuously improve administrative workflows to enhance efficiency, reduce costs, and support the company’s global growth.
∎ • Senior Management Support: Provide high-level administrative support to senior executives, including managing calendars, travel arrangements, meetings, and special projects. Ensure that senior management’s operational needs are met with discretion, efficiency, and professionalism.
∎ • Cross-Functional Collaboration: Collaborate with other departments, including HR, Finance, IT, and Legal, to ensure that administrative processes are integrated and aligned across the organization. Act as a liaison between administration and other key departments to support company-wide initiatives.
∎ • Budgeting & Resource Management: Develop and manage the administration budget, ensuring that resources are allocated efficiently and cost-effectively. Oversee procurement processes and vendor management, ensuring value for money while maintaining the highest standards of service.
∎ • Compliance & Governance: Ensure that all administrative operations comply with relevant laws, regulations, and company policies across all global locations. Stay informed of changes in legal and regulatory requirements and implement updates as needed to ensure compliance.
∎ • Crisis & Risk Management: Assist in developing and implementing business continuity and crisis management plans for administrative operations. Ensure that the administration team is prepared to respond effectively to any emergencies or disruptions in business operations.
∎ • Event & Project Management: Lead the planning and execution of corporate events, conferences, meetings, and other high-profile activities. Ensure that all events are executed flawlessly and align with the company’s standards of excellence.
∎ • Technology & Systems Optimization: Work closely with IT to ensure that administrative systems, including communication tools and office software, are up-to-date and optimized for efficiency. Explore and implement new technologies that can improve administrative operations. Ideal Candidate Profile:
∎ • Proven Leadership Experience: A minimum of 7-10 years of experience in a senior administrative or managerial role, preferably within a multinational or global organization. Strong leadership skills with a demonstrated ability to manage and mentor teams effectively.
∎ • Operational Expertise: Deep knowledge of administrative operations, including office management, facilities, procurement, and vendor management. Proven experience in optimizing processes to enhance efficiency and productivity across multiple locations.
∎ • Global Mindset: Experience working in a multicultural environment and managing administrative functions across multiple regions or countries. Strong understanding of global business practices, legal requirements, and cross-cultural communication.
∎ • Financial Acumen: Experience in budgeting, financial planning, and resource management. Ability to develop and manage a departmental budget effectively, ensuring alignment with organizational goals.
∎ • Excellent Communication Skills: Exceptional verbal and written communication skills, with the ability to engage with senior management, staff, and external stakeholders across different cultures and regions. Fluency in English is required; proficiency in additional languages is an advantage.
∎ • Problem Solving & Decision-Making: Strong analytical and problem-solving skills, with the ability to make sound decisions in complex and dynamic situations. A proactive approach to identifying and resolving operational challenges.
∎ • Confidentiality & Integrity: A high level of discretion and the ability to handle sensitive information with confidentiality and professionalism. Strong ethical standards and integrity in all aspects of the role.
∎ • Educational Background: A Bachelor’s degree in Business Administration, Management, or a related field is required. A Master’s degree or advanced certification in administration or operations management is an advantage.
