Responsibilities & Context:
∎ Period of Performance: Seven (7) months / up to June 2025.
∎ The U.S. Pharmacopeial Convention (USP) is a scientific nonprofit organization that sets standards for the identity, strength, quality, and purity of medicines, food ingredients, and dietary supplements manufactured, distributed, and consumed worldwide. USP’s drug standards are enforceable in the United States by the Food and Drug Administration, and these standards are used in more than 140 countries. USP’s focus on global public health extends to lower and middle-income countries with work in over 20 countries through donor-funded programs. Our programs are focused on building the capacity of regulatory authorities and manufacturers in ensuring patient access to quality-assured essential medicines by providing: 1) technical assistance to manufacturers to increase the supply of quality-assured priority medicines for malaria, HIV/AIDS, tuberculosis (TB), neglected tropical diseases (NTDs), and maternal, newborn, and child health (MNCH) products; and 2) capacity-building activities to regulatory authorities to fulfill their function in ensuring the supply of quality-assured medical products. USP was awarded the Promoting the Quality of Medicines Plus (PQM+) program, a USAID-funded global program designed to sustainably strengthen medical product quality assurance systems in low-and-middle income countries, including Bangladesh. PQM+ is currently seeking a procurement and logistics consultant to support the implementation of the program in Bangladesh.
∎ USP Bangladesh is seeking for an admin and finance assistant consultant who will day to day support to technical team for organizing events and administrative support of PQM+ program implementation in Bangladesh. The consultant will report to the Senior Finance and Operations Manager in Bangladesh and will work closely with Snr. Finance Officer-Consultant and Procurement & Logistic Officer.
∎ S/he will coordinate with technical team and support for organizing training/workshop and settle event related financial matters. Making payment of utility bills (house rent, electricity, water, gas, phone bill, newspaper bill, cleaning service, data & voice call etc.). Monitor and guidance office helper, driver and cleaner performance and assist to ensure cleanliness/hygiene of office premises.
∎ Coordinate with technical team for timely submission of training/meeting/event/workshop requests
∎ Assist event budget preparation by program staff for event, ensure accuracy, process for approval, and ensure appropriate advance/payment is made in timely manner.
∎ Assist in arranging the in-house and outside meetings, workshops, seminars, and training and to ensure all sorts of logistic support for training and settle all training-related financial matters
∎ Assist in arranging payment of utility bills (house rent, electricity, water, sewerage, gas, cable, phone bill, newspaper bill, cleaning service, data & voice call etc.)
∎ Ensure an orderly-fashioned filing system in the finance section (soft & hard copy).
∎ Deposit TAX Challan to Govt. treasury and collect challans
∎ Assist VAT coupon/cheque handed over to supplier/vendors and collect acknowledgement
∎ Submission monthly coupon report, vat report, tax report to Govt. offices
∎ Assist to ensure cleanliness/hygiene of office premises
∎ Assign office helper and cleaner to ensure support
∎ Trucking office vehicle movement is effectively and efficiently in line with USP policy and procedures and Maintain vehicle movement record, check, and verify monthly fuel bill
∎ Review and verify overtime sheet for office support staff and drivers.
