∎ Provide day to day customer service & Operational support to Client with end to end process accomplishment as per agreed SOP. Maintain good relationship and communication with internal and external stakeholders. Support team to achieve it`s target as an individual as well as a team player. Need to handle daily exceptions by providing related solutions being align with SOP and compliance.
Job Responsibilities:
∎ Booking management, follow up
∎ Receive pre-alert from Shipment Handler, sort and verify
∎ Share Shipment Handler Pre-alert (shipment notice) to customer and respective share holders
∎ Exception communication about pre-alert (departure, arrival, flight schedule, transit delay etc)
∎ Maintain Customers, Teams and Branch KPI's
∎ Receive system update information, sort and verify
∎ Update Damco System (MODS) for visibility based on received information from Shipment Handler
∎ Maintain tracker/excel file for system update record
∎ Verify draft invoice in customer format received from Shipment Handler
∎ Send freight invoice copy to local shipper
∎ System update with revenue and cost figure
∎ Maintain record of shipment invoices
∎ Examples of tasks:
∎ Send pre-alert to customer and destination with shipment details.
∎ Communication with Global Service Team (GSC), Shipment Handler and arranges
∎ Job Purpose/summary
∎ Ensure operational activities like System update, Document preparation, Collection, Audit, Despatch, etc. in light of the SOP
∎ Ensure on time and error free System update and Document management, etc.
∎ Ensure on time document collection & dispatch to the correct address
∎ Ensure timely receiving of accurate reports, documents from the off-docks and shipping lines
∎ Ensure accurate document audit/checking received from the shipper
∎ Follow-up to updating VGM on time in carrier site.
∎ Ensure on time SI to carrier within timeline.
∎ Cross check Carrier BL and our system to avoid any discrepancy.
∎ Clear data quality (DQ) error.
∎ Ensure on time B\L submission by shipper
∎ Response to daily operations emails or queries / calls / with zero or minimal escalations
∎ Communication with destination & clients on regular shipment related issue.
∎ Proactive in exception management
∎ Communicate with DOC/GSC team & ensure error free/on time system update.
∎ Release FCR/HBL/BL to shipper within timeline mentioned in the SOP or standard time.
∎ Attending Customer/Shipper queries in professional manner
∎ Maintains good rapport with vendors and carriers.
