∎ At least four years of experience in administrative and secretarial services, especially in program support in any national or international organization, preferably in an NGO.
∎ Ability to work independently, manage multiple priorities, and understand petty cash management well.
∎ Experience in event management, e.g., meetings/workshops/seminars/training.
∎ Good interpersonal communication skills, proficiency in MS Office, typing skills in Bangla
∎ A good listener and patient in any situation
∎ Ability to work under pressure and when facing deadlines
∎ Adequate skills in reporting, documentation, and presentation in English and Bangla.
∎ Desired Qualifications
Responsibilities & Context:
∎ Improve the capacity of local health authorities to conduct evidence-based analysis of local health systems and epidemiology for decision-making;
∎ Institutionalize evidence-based planning;
∎ Strengthen urban health systems; and
∎ Strengthen urban health system resilience and responsiveness to shocks and stressors.
∎ Provide administrative, logistic, and Programmatic support to the UHA Dhaka office.
∎ Work with the F&O team to organize and coordinate workshops, training, and meetings; prepare a budget; organize the venue; send invitations; and provide logistic support during the workshop/training.
∎ Support in out-sourcing or sub-contracting program activities as required.
∎ Assist HR by preparing needed documents for regular staff recruitment and consultant identification, keeping consultant and intern agreements, and submitting and tracking invoices.
∎ Prepare, translate, type Bangla, proofread, and support the development of program materials, banners, festoons, newsletters, and brochures.
∎ Assist Team members in developing and printing project materials
∎ Assist program team members in knowledge management, monitoring, and program quality assurance.
∎ Provide administrative assistance to the Deputy Chief of Party. Support DCOP in scheduling, communications, logistics, and other tasks as required.
∎ Ensure support in managing office systems and functions, such as coordinating mail distribution, arranging meetings and presentations, maintaining a calendar, photocopying, and processing procurement requests.
∎ Develop, maintain, and update the UHA filing system (hard and soft); prepare program protocols; systematically keep program documents and reference documents and ensure their availability for the team as and when required.
∎ Support in information dissemination - respond to information inquiries about the program; help develop publications and ensure their dissemination
∎ Facilitate day-to-day communication and information sharing with UHA team members and partners.
∎ Liaise with Finance, HR, Admin, and IT to ensure smooth office operations.
∎ Provide infographic services to the program
∎ Work in coordination with other programs in the sector
∎ Ensure required support to other sector teams as and when required
∎ Ready to work in any natural disaster or emergency anywhere in Bangladesh.
∎ Ensure support for any other tasks assigned by the supervisor.

∎ Brief description of the project
∎ The purpose of the Urban Health Activity is to strengthen urban health systems, with the goal of improving equitable health outcomes among all urbanites. To achieve its goal, the activity will work with municipalities and city corporations and focus investments on establishing and strengthening urban health systems to provide quality, equitable public health (including health services), optimize available resources, and become more resilient. This Activity will focus on the following four objectives:
∎ Job Summary
∎ The Program Officer position is full-time with the Bangladesh Urban Health Activity in Dhaka, Bangladesh. The Program Officer will report to DCOP. The successful candidate for this position will be responsible for providing secretarial, administrative, and operational support to the UHA project. The other roles and responsibilities include establishing and maintaining office systems, program backstopping, tracking consultant contracts, managing events, handling staff travel, maintaining the calendar, and representing the organization externally. The individual will organize and archive important project documents and assist the program team and partners in coordinating with teams based in Dhaka and the targeted cities. Additionally, the role involves maintaining a schedule of major events, meetings, submissions, deliverables, and follow-up activities.
