Responsibilities & Context:
∎ Scheduling and Coordination: Managing executive calendars, booking travel arrangements, coordinating meetings, and ensuring timely follow-ups.
∎ Communication: Handling incoming calls, emails, and other forms of communication, screening and directing calls, and relaying urgent messages.
∎ Record Keeping: Maintaining accurate and organized records, including filing systems, correspondence, and reports.
∎ Data Entry: Assisting with data entry tasks, ensuring accuracy and maintaining data integrity.
∎ Office Management: Organizing office supplies, maintaining a clean and organized work environment, and handling basic administrative tasks.
∎ Event Coordination: Coordinating events, meetings, and conferences, including logistical arrangements and event planning.
∎ Vendor and Client Relations: Building and maintaining relationships with vendors and clients, responding to inquiries, and resolving issues.
∎ Financial Tasks: Assisting with basic accounting and bookkeeping tasks, such as managing invoices, paying bills, and tracking expenses.
∎ Time Management: Prioritizing tasks, meeting deadlines, and ensuring efficient workflow.
∎ Problem-Solving: Identifying and resolving administrative issues, such as technology problems or communication errors.
∎ Confidentiality: Handling sensitive information with discretion and confidentiality, protecting company data and records.
∎ Teamwork: Collaborating with other team members and departments to ensure smooth operations and effective communication.
∎ Customer Service: Providing excellent customer service to clients, guests, and vendors.
