Responsibilities & Context:
∎ MAXIMUM LEVEL OF EFFORT: Full-time

∎ The Office Assistant will report to the Operations Coordinator
∎ The Bangladesh Systems Strengthening for One Health (SSOH) aims to enhance Bangladesh's global health security (GHS) capacity to operate a high functioning and equitable One Health (OH) disease detection system that prevents, detects, and responds to new and emerging infectious and endemic zoonotic disease, while ensuring good One Health governance and reducing risks of irreversible antimicrobial resistance (AMR). Through evidence-informed and integrated systems approach, SSOH will strengthen Bangladesh's One Health Systems and enhance the country's capacity to prevent, detect, respond to, and recover from infectious disease threats. The activity aims therefore aims to achieve results under the following development objectives:Strengthen Systems for Better One Health Governance across the Government of Bangladesh (GOB)Strengthen One Health Disease Detection Systems for effective prevention, detection, and response.Reduce Threats of Antimicrobial Resistance (AMR) across OH sectors.

∎ Reduce Threats of Antimicrobial Resistance (AMR) across OH sectors.
∎ The role of the Office Assistant is to provide overall basic administrative and operational support to SSOH Activity. S/he will closely work with the entire finance and operations team members of SSOH.
∎ Cleaning of the entire office space, lawn, open space of the entrance, furniture, glass doors & windows, equipment daily before staff resumption.
∎ Ensure all toilets, pantry including basins are clean and dry before staff entering and throughout the workdays.
∎ Verify refrigerator (s), microwave oven(s) are tidy and cleaning biweekly.
∎ Ensure all waste bins are emptied twice a day (morning and afternoon).
∎ Make sure entire office, individual rooms, pantry, toilets are free of malodor.
∎ Ensure essential toilet materials are available in the toilet(s), i.e. toilet tissue, air fresher, hand towel tissue.
∎ Ensure water purifier(s) are well functioning, if not, report to the supervisor without delay.
∎ Clean all used cutleries, crockeries, teacup/saucer, coffee mug immediately after using, without dumping into the kitchen sink.
∎ Clean the dining table immediately one after a group of employees completing their lunch.
∎ Opening of the office in the morning and closing in the evening; maintain main door keys.
∎ Photocopying, scanning, documents filling, bindings.
∎ Workshops/meetings/ any other event materials to be ready before one day of the event.
∎ Physically assists in the outdoor workshops/meetings/ any other events as required.
∎ Neatly arrange the office conference room for any meetings/events at least one hour before.
∎ Ensure timely serve the meeting snacks, tea-coffee, water in a good manner.
∎ Useful managing of the newspaper logbook (if applicable).
∎ Effective management of office provision, including stationeries, toiletries and cleaning items, mineral water bottle, kitchen utensils; cutleries, crockeries, refreshment goods; tea-coffee ingredients, cookies, other office supplies.
∎ Support in local purchasing, travel arrangements.
∎ Assist in inventory management of project assets and office supplies.
∎ Greet and receive visitor(s) and by providing the proper direction tie with the respective staff.
∎ Offer tea-coffee, water to the official guest(s)/visitor(s).
∎ Maintain visitor logbook (if applicable).
∎ Any technical problems, maintaining or repairing issues contact with the service provider under guidance of supervisor.
∎ Collection and delivery of mail, and other materials as required from and to the USAID, post office, bank, government agencies and other stakeholders or institutions.
∎ Sorting, delivery, and pickup mail from various offices on the premises of the regular intervals.
∎ Maintenance of mail records as required.
∎ Provision of tea-coffee, water for all the office employee, twice a day (morning and afternoon).
∎ Cooperate the employee during lunch hour, including heating and serve lunch, bring lunch from outside, once in a day of the interval.
