Responsibilities & Context:
Your day-to-day usually revolves around three pillars: Information Management, Communication, and General Support.
Data Entry & Processing: Accurately inputting records, invoices, or client information into databases or spreadsheets.
Document Preparation: Formatting reports, drafting memos, and creating presentations using the MS Office Suite (Word, Excel, PowerPoint).
File Organization: Maintaining both physical and digital filing systems (Cloud storage/Google Drive/SharePoint) to ensure quick retrieval of info.
Troubleshooting: Performing basic IT maintenance, such as fixing printer jams or updating software.
Administrative & Communication
Correspondence: Managing the office email inbox, drafting professional replies, and handling incoming/outgoing mail.
Scheduling: Coordinating meetings, managing calendars, and occasionally booking travel arrangements.
Reception Duties: Acting as the first point of contact for visitors and handling a multi-line phone system with poise.
Inventory Control: Tracking office supplies and placing orders before the coffee or toner runs out.
Bookkeeping Basics: Assisting the accounting team with simple tasks like scanning receipts or logging petty cash expenses.
