Job Responsibilities:
Assist in preparing, processing, and maintaining monthly payroll for all employees and workers accurately and within the scheduled timeline.
Collect, verify, and reconcile attendance, leave, overtime, late attendance, absenteeism, joining, separation, and other payroll-related data.
Maintain and update employee and worker master data in the payroll/HRIS system.
Ensure accurate calculation of basic salary, gross salary, overtime, allowances, deductions, attendance bonus, leave benefits, advances, loans, and other payroll components as applicable.
Prepare monthly payroll sheets and supporting documents for management review and salary disbursement.
Coordinate with HR, Admin, Accounts, and relevant departments to resolve payroll discrepancies and ensure timely salary processing.
Maintain proper records of salary sheets, attendance records, overtime records, bank statements, payroll reports, and other payroll-related documents.
Assist in preparing bank salary transfer files and ensure accuracy of employee bank account information.
Handle payroll-related queries from employees and workers and provide appropriate support and clarification.
Maintain confidentiality and security of employee personal, salary, attendance, and payroll information.
Assist in preparing various HR and payroll reports required by management, auditors, buyers, and compliance teams.
Provide IT support for HR, Payroll, and other office users, including troubleshooting hardware, software, network, printer, scanner, and related technical issues.
Maintain and monitor computers, laptops, printers, barcode/attendance devices, biometric machines, CCTV-related systems, and other IT equipment as assigned.
Provide technical support for attendance and biometric systems and ensure proper synchronization of attendance data with payroll systems.
Assist in maintaining LAN, internet connectivity, Wi-Fi, email, shared folders, and basic network infrastructure.
Support installation, configuration, updating, and maintenance of operating systems, software, antivirus, and other authorized applications.
Maintain proper records of IT assets, equipment, software licenses, user accounts, and IT-related documents.
Assist in data backup, data recovery, and basic information security practices to protect company information.
Ensure timely backup and secure storage of payroll and HR-related electronic data.
Support HR and management in preparing Excel-based reports, MIS, dashboards, and data analysis.
Ensure proper implementation of company policies and procedures related to payroll, IT usage, data security, and confidentiality.
Coordinate with external IT vendors/service providers for maintenance and troubleshooting when required.
Identify system errors, data inconsistencies, and technical issues and take timely corrective action.
Maintain a high level of accuracy while handling sensitive payroll and employee information.
Perform any other duties and responsibilities assigned by the management.
Requirements:
Bachelor’s degree / Diploma in Computer Science, Information Technology, Computer Applications, HR, or a relevant discipline.
Minimum 3–5 years of relevant experience in IT, Payroll, HRIS, or a combination of IT and payroll functions, preferably in the garments industry.
Practical experience in garments factory payroll and attendance management will be highly preferred.
Strong knowledge of payroll processing, attendance management, overtime calculation, leave management, and employee salary-related data.
Good knowledge of Microsoft Excel, including VLOOKUP/XLOOKUP, IF, SUMIF/SUMIFS, Pivot Table, filtering, sorting, data validation, and basic data analysis.
Experience with HRIS, payroll software, biometric attendance systems, and employee databases.
Good knowledge of computer hardware, software installation, Windows operating systems, printers, scanners, and basic networking.
Basic knowledge of LAN, Wi-Fi, IP configuration, internet connectivity, and troubleshooting.
Ability to maintain accurate and confidential payroll and employee records.
Strong analytical, numerical, troubleshooting, and problem-solving skills.
Good communication and interpersonal skills.
Ability to work independently as well as coordinate effectively with HR, Admin, Accounts, IT, and other departments.
Additional Requirements:
Experience in a 100% export-oriented RMG factory will be an added advantage.
Practical experience in handling payroll for a large workforce will be preferred.
Experience with biometric attendance and payroll integration will be an advantage.
Knowledge of Bangladesh Labor Law and basic statutory requirements related to wages, overtime, leave, attendance, and employee records will be preferred.
Experience in preparing payroll reports for management, audit, buyer compliance, and statutory purposes will be an advantage.
Must be proactive, responsible, detail-oriented, and capable of maintaining strict confidentiality.
Must have the ability to work under pressure and meet monthly payroll deadlines.
Good command of both Bangla and English will be preferred.
