∎ The applicants should have experience in the following business area(s): Group of Companies, Multinational Companies

Job Responsibilities:
∎ To provide administrative services including planning events, organizing travel and preparing travel itineraries, correspondence and prioritizing emails for the Executive Director
∎ Maintain personal and business files
∎ Corporate record keeping for multiple entities
∎ Note taking & creating documentation, filing, storage & retrieval of business and personal activities
∎ Answer phone calls and redirect them when necessary
∎ Work closely with other team members to assure the Executive Director's preparation for meetings, presentations or other engagements
∎ Follow up on action points from meetings on behalf of the Executive Director
∎ Remind all agenda's relating to any type of trip/visits, VIP guest arrival, meeting fixation/cancellation, document preparation/submission/delivery, mail communication to the Executive Director
∎ Ensure all correspondence and relevant materials are produced on time and in accurate manner
∎ Supervise & co-ordinate office works, admin works & related all works of the Executive Director
∎ Conduct all secretarial tasks such as meeting schedule, meeting agenda, minutes prepare, memo writing etc
∎ Maintain the schedules and diary of the Executive Director and ensure all appointments and meetings are duly updated
∎ Coordinate with management team & other departments as per requirement
∎ Receive & deliver mails, draft & reply the letters as per requirement
∎ Keep confidentiality to all the issues
∎ Arrange and book air tickets, hotel booking for the Executive Director if required
∎ Maintain transportation, lunch, petty cash, IOU slip etc. on daily/monthly basis as a part of HR & Admin department
∎ Any other task assigned by the Management related to the role profile

Additional Requirements:
∎ Age at most 35 years
∎ Proficient in Microsoft office and Outlook
∎ Proficient in arranging meeting through google meet or zoom
∎ Candidates must have interpersonal skills
∎ Work as a proactive member in a team and individually
∎ Energetic, creative, sincere and honest
