Educational Requirements:
∎ Bachelor of Business Administration (BBA)
∎ MBA in Supply Chain Management will be preferred.
∎ Advance diploma degree in Hotel Management will be preferred.
∎ Experience in high standard hotel F & B department would be an advantage.

Job Responsibilities:
∎ Financial and Management Control:
∎ Conducts full weekly/Monthly review of all areas under the remit of the position Unit(s) financial performance with CEO/Commercial manager
∎ Post new product launch reviews and to attend a financial review of the same with the CEO
∎ Carry out monthly full review of all EPOs management tools to ensure that the correct cost prices are in the system.
∎ Always testing the company GP to ensure that efficiencies are being exploited to the full.
∎ Review Annual Budgets and re-phase and re-distribute budgetary amounts as appropriate
∎ Agrees full annual budgets and any targets for all levels with the CEO prior to implementation
∎ Ensure that they conduct Period forecasting - In conjunction with budget levels and approval from the Head of finance
∎ Formulate annual Business Plans/Store and review monthly/quarterly
∎ Ensures the UM is managing the gross profit gap between theoretical and actual
∎ Monitors the inventory holding level and to ensure it stays within the approved level as dictated by the head of finance.
∎ Carries out monthly inventory checks and produces documentation of the same.
∎ New Business/Investment opportunities - Produce the investment summary
∎ Produce minor CAPEX in line with current investment policies
∎ Submit business case for all expenditure for approval by CEO
∎ To produce monthly competitor analysis on prices and product ranges.
∎ Team Management:
∎ Ensures Recruitment tools/process are used consistently to ensure quality/skills/legal standards met
∎ Recruitment of procurement assistant to meet business needs in advance of gaps.
∎ New Management Induction - conduct 4, and 12 week reviews; ensure evaluation activities occur and sign off completed before probationary period is approved.
∎ Sets and review objectives for all who are under your direct line supervision.
∎ Ensures performance appraisals are completed in line with the organizational expectations as in once each 6 months.
∎ Conducts monthly management meetings to cascade business developments and request feedback etc.

∎ Succession Planning - building bench strength and ensuring that there is always succession within the department
∎ Sales and Service Management:
∎ Continually monitors service levels for all suppliers and landlords and provides constructive reports to the when required
∎ Continually monitors service levels internally for all outlets and provides constructive reports to the when required. The priority being that the company never runs out of any inventory lines.
∎ Order product that requires importation in sufficient time so as to prevent no stock shortages, whilst maintaining good long shelf life which is in line with the current consumption.
∎ Compile and maintain an approved suppliers list for Beverage related products. Ensuring that monthly this is reviewed and that annual agreements are entered into on the basis of service and cost benefit.

∎ Compile and maintain an approved suppliers list for Hygiene, paper and safety related products. Ensuring that monthly this is reviewed and that annual agreements are entered into on the basis of service and cost benefit.
∎ Compile and maintain an approved suppliers list for of industry related products that we should have but do not have. Ensuring that monthly this is reviewed and that annual agreements are entered into on the basis of service and cost benefit. Make regular recommendations
∎ Maintain systems for the importation of all goods and equipment and constantly review these processes for efficiency and speed.
∎ List all local contractors that you recommend and what trades they cover. Constantly review their rates and enter into 1 year agreements in consultation with the CEO.
∎ Constantly review and interrogate service level agreements from suppliers and report quarterly on their effectiveness especially in relation to attendance at site times.
∎ Continually monitors service levels of the procurement department to ensure that internal service levels and speed of service times are met.
∎ Monitors sales performance and average spends and liaise with the operations team and the marketing teams to ensure that they are always current with any company marketing initiative and any future campaigns.
∎ To ensure that all employees are fully up to speed on targets and are working towards those set
∎ To provide full analysis on competitor product ranges, pricing and availability. Understanding market trends and value propositions.
∎ Investigate and respond to Ops services in relation to customer contact issues
∎ Ensure SMs & Assistant Store Managers are fully trained with on product quality standards and good product knowledge ensuring that products are being stored at optimum Health & Food safety standards
∎ Manages customer (Internal & external) dissatisfaction issues at Unit level as they occur and always ensures Customer Satisfaction Guarantees are met and Customer Feedback Systems are always in place. If there is no system in place then offer one for consideration by the CEO
∎ Operational Management:
∎ Ensure that everyone in the procurement team is trained on their duties and adhere to all the company procedures and policies in relation to procurement.
∎ Ensures all procedures are in place and adhered to for procurement
∎ Ensures that the team members have attained appropriate qualifications and training (e.g.H&FS training etc). Where there are gaps then identify and remedy and escalate to CEO
∎ Fully understands and complies with all statutory requirements (e.g. Licensing, Risk Assessments, H&FS; Fire awareness. Accident reporting, Manual handling, Risk Assessments, Unit cleaning schedules, How To Cards etc)
∎ Ensure that all licenses required for the operation of all premised within your jurisdiction are current and that they are not permitted to expire. A plan is to be maintained so that license renewals or new applications are made in a timely manner prior to the event
∎ Ensuring that the SOP's for everything is being adhered to by way of physical, verbal and observation checks. Identifying where an SOP does not exist and then escalating this to the CEO and the commercial manager whilst putting something in place to mitigate any impact.
∎ Creates and implements a crisis policy for any matters related to procurement
∎ To recommend international products and trends that would be of benefit to the business. Supported by analysis both with the local market as well as it international exposure.
∎ Actively manages all Maintenance issues - reporting, timely follow-up, escalation
∎ Develops productive long term client relationships (e.g. reviewing new business opportunities)
∎ To work at a location in conjunction with your line manager
∎ To ensure you visit the operation at certain times of trade. To carry out weekend checks, late night check and early morning checks of all businesses on a rota basis however always observing strictly your work life balance management of ensuring you work to your number of days working per week.
∎ To ensure that all the cleaning schedules are adhered to and are of the highest levels of cleanliness, by way of visual inspection.
∎ To operate a clean desk policy at the end of business each day.
∎ Brand Integrity and Product Management:
∎ Thorough understanding of Brand criticals on all product
∎ Monitors effective merchandising of products on site visits, great displays that reflect planograms, good levels of availability, including core range specific to the brand

Additional Requirements:
