Responsibilities & Context:
∎ Greet and welcome visitors: Act as the first point of contact with clients, guests and employees, ensuring a professional and friendly impression.
∎ Communication Management: Handle incoming and outgoing calls, emails and messages promptly and professionally.
∎ Administrative Support: Provide support to management by scheduling meetings, organizing files and maintaining records.
∎ Coordinating appointments: Schedule and manage meetings for clients and employees, ensuring that daily activities are carried out smoothly.
∎ Office Maintenance: Monitor and organize office supplies, maintain cleanliness in the reception area and ensure a welcoming work environment.
∎ Problem Solving: Resolve client queries and direct them to the relevant department as necessary.
∎ Supporting HR Duties: Assisting with basic HR-related tasks such as maintaining attendance logs and supporting recruitment activities as needed.
∎ Required Skills and Abilities:
∎ Communication Skills: Exceptional verbal and written communication skills to effectively communicate with clients and team members.
∎ Interpersonal Skills: Friendly demeanor and ability to build rapport with visitors and colleagues.
∎ Time Management: Strong organizational skills to manage multiple tasks and prioritize responsibilities.
∎ Problem Solving: Ability to handle unexpected situations with professionalism and ease.
∎ Technical Skills: Familiarity with Microsoft Office Suite (Word, Excel, Outlook) and basic office tools.
∎ Attention to Detail: Accuracy in performing tasks such as maintaining records and scheduling appointments.
∎ Adaptability: Willingness to learn and embrace new challenges as they arise.
∎ Social Media Live Presentation and Brand Promoter
