Job Responsibilities:
∎ Facility Manager/Property Management Specialist (PMS) is responsible for overseeing the maintenance and operational activities of our properties.
∎ This role should ensure the safety, security, and functionality of the facilities while managing and optimizing resources to deliver efficient property management services.
∎ Key Responsibilities:
∎ Property Maintenance:
∎ Supervise and coordinate maintenance and repair activities for the facility.
∎ Maintain a preventive maintenance program to ensure equipment e.g., HVAC, WTP, STP, ETP, Electro Mechanical, CCTV, Generator, Sub-Station, PA System, Solar & Fire- fighting devices and systems are functioning properly and in good working order.
∎ Oversee and manage external contractors and vendors for maintenance and repairs.
∎ Energy efficiency and Sustainability:
∎ Develop & execute strategies to enhance energy efficiency and reduce resource consumption.
∎ Identify opportunities for energy conservation and sustainability improvement, implement energy efficient schedule and execution.
∎ Security and Safety:
∎ Implement and enforce safety and security protocols.
∎ Conduct regular safety inspections and respond to emergency situations as necessary.
∎ Manage access control systems and monitor security measures.
∎ Tenant & stakeholder's relations:
∎ Act as the primary point of contact for tenants.
∎ Address tenant inquiries, concerns, and requests promptly and professionally.
∎ Ensure lease compliance and resolve disputes when necessary.
∎ Budget and Financial Management:
∎ Assist in the preparation and management of the property budget.
∎ Monitor and control operational expenses, reporting and seek cost-effective solutions.
∎ Review invoices and ensure timely payment to vendors.
∎ Compliance and Regulatory Requirements:
∎ Ensure the property complies with country regulations & continuous monitoring.
∎ Keep abreast of changes in regulations and update procedures accordingly.
∎ MIS, Reporting and Documentation:
∎ Maintain accurate MIS, records and documentation related to property management activities.
∎ Prepare regular MIS on property performance and present findings to management.
∎ Tenant Services:
∎ Organize and manage services for tenants, such as waste management, recycling programs, and common area maintenance.
∎ Training & development:
∎ Provide training to building staff on BMS, other compliance and safety measure.
∎ Keep aware building staff to implement energy efficient, pro-active & sustainable operational process
Additional Requirements:
∎ Proven experience (3/5 years) in property management or in a similar role.
∎ Strong knowledge on Building Management System (BMS)
∎ Excellent interpersonal and communication skills.
∎ Proficiency in property management software and Microsoft Office.
∎ Knowledge of building codes and regulations.
∎ Strong problem-solving and decision-making abilities.
∎ Ability to work independently and as part of a team.
∎ Professional certifications in property management or in related field (e.g., Certified Property Manager, Facilities Management Professional, BMS).
∎ Familiarity with sustainability and energy-efficiency practices.
