Responsibilities & Context:
∎ Assist in developing and implementing administrative policies and procedures;
∎ Identify areas for improvement and suggest measures;
∎ Coordinate administrative activities including meetings, calendars, and correspondence with Government & Private organizations;
∎ Maintain accurate records and documentation related to administrative operations;
∎ Ensure compliance with safety and security standards on the premises;
∎ Oversee housekeeping;
∎ Assist in budget planning and monitor administrative expenses;
∎ Deal with petty cost and petty cash;
∎ Process invoices, purchase orders, and expense reimbursements;
∎ Maintain financial records and prepare reports for management review;
∎ Participate in special projects, events and initiatives aimed at improving administrative processes and services;
∎ Provide training, coaching, and supervision for administrative staff, cleaners, and gardeners;
∎ Renew vendor contracts and follow up on maintenance work (AC, solar, substation, generator, furniture, plumbing work etc.);
∎ Monitor civil work and facilitate repairs as needed;
∎ Provide logistic support to the College administration;
∎ Ensure maintenance logs and report on daily activities;
∎ Address transportation and logistics issues.
∎ Monitor quality, quantity, and stock levels for cost-efficient transportation;
∎ Manage parking facilities;
∎ Supervise landscaping and beautification projects;
∎ Assist in preparing documentation and reports for regulatory audits and accreditation processes;
∎ Meet the needs of internal and external stakeholders and collaborate with other organizations;
∎ Execute additional assignments as required by university management.
∎ The Assistant Manager of Administration plays a crucial role in ensuring the smooth functioning of administrative tasks within an educational institution. Assistant Manager will assist the Manager of Administration/Administrative Head in overseeing various administrative functions, including facilities management, staff coordination, student and faculty services, and regulatory compliance. The “GUK Residential Model School and College, Gaibandha” is looking for experienced, skilled, dynamic and self-motivated Assistant Manager to manage these issues.
