Educational Requirements:

∎ Skills Required: Fluent in written and spoken Bengali English., Office Management, Sophisticated knowledge in MS Office

∎ The applicants should have experience in the following area(s): Administration, Grant Administration, Secretary
∎ The applicants should have experience in the following business area(s): Development Agency, Multinational Companies, NGO

Job Responsibilities:
∎ Calendar and appointments: Manages calendar and ensures optimal scheduling of meetings/events
∎ Keeps the Director informed of relevant internal or external issues that could potentially have an impact
∎ Ensures that the Director is properly briefed and prepared for all meetings and events
∎ Develops strong working relationships with other relevant colleagues
∎ Responds to incoming phone calls, handles courier /mail arrangements
∎ Makes travel arrangements (visa, air ticket, hotel booking and transportation)
∎ Reconciles credit card statements or submits billing information
∎ Meetings: Assists in the planning and preparation of meetings, conferences and video conference, and other events
∎ Reserves rooms, arranges catering
∎ Prepares documents and presentations for the meetings
∎ Records action points arising from designated meetings
∎ Acts as host
∎ Programme Support: Supports Programme related planning and activities as needed
∎ Organizes and updates Programme materials (digital and paper)
∎ Works as a Grant Administrator for grants managed by the Director and ensures that grants are processed according to protocols, compliant with internal and external policies and regulations, and that the right chain of communication is maintained internally and externally.

∎ Organized, detail oriented and ability to work under pressure (task and time management, ability to prioritize)
∎ Effective communicator (verbal and written and ability to understand non-verbal cues)
∎ Demonstrates confidentiality and judgement
∎ People and service orientated
∎ Technical Skills
∎ Thorough knowledge of MS Office: Word, Excel and PowerPoint
∎ Experience in CRM (e.g., Salesforce) or willingness to learn
∎ Proficiency in English and Bengali (written and oral)
∎ VC/Skype and other internet based communication)
