∎ At least 3 year(s)
Job Responsibilities:
∎ Reception and Customer Service: Greets visitors to office and direct the to the appropriate department. Operates telephone systems.
∎ Travel Management: Assist in managing vehicles operations, domestic travel arrangements including tickets, hotels, transport and other logistics. Maintain vehicles logs.
∎ Document Filing, and Processing: Process documents for approval, maintain files and scans documents. Maintain various trackers including vehicle logs, invoice trackers, store registers.
∎ Stationeries Supplies and Logistics: Ensures that proper inventory of stationeries, supplies and manage events logistics. Regularly updates electronic lists.
∎ Branding and Marking: Assist in putting inventory tags on assets and updating inventories periodically.
∎ Processing Invoices for Payments: Assist in processing correct invoices after review ensuring accuracy of submitted invoices to the accounts for payment.
∎ Coordination and Communication: Various level coordination and communications are required which must be maintained with team spirit and avoiding any conflicts and discouraging engagements. All coordination and communication must be made on-time to resolve delays in processing documents, approvals and logistics arrangements.
∎ Attention to details: Must be capable of quickly reviewing and processing various forms and documents for approval. Provide feedback to documents/forms imitator for any required corrections.
∎ Filing Systems and Practices: Ability to file documents (forms and documents) according to procedures.
∎ Inventory Management: Manage store. Physical movement of stationeries and supplies are required. Proper accounting of store items inventories required. Reordering to replenish inventories required.
∎ Database and Trackers: Maintain various trackers and databased including but not limited to invoice tracker, vehicle trackers/logs, travel trackers, inventory registers.
∎ Coordination, Scheduling and Calendaring: Ability to schedule events, meetings and appointments.
∎ Travel Coordination: Ability to schedule and coordinate travel arrangements.
∎ PC Applications: Advanced knowledge security system software.
∎ Software Applications: Advanced knowledge of MS Office products, including MS Word, Excel, and Outlook.
∎ Sexual and Reproductive Health and Rights Services: Foundational knowledge of family planning and reproductive health principles, practices and services of programs, including program strategies and indicators, and the latest professional developments in SRHR.
∎ Communication: Oral and written communication skills
∎ Passion for Sexual and Reproductive Health Services: Commitment to family planning, reproductive health services, gender, maternal, child health services, and eradication of harmful traditional practices
∎ Influencing and Customer Service Skills: Customer service skills.
∎ Organization, Planning and Multi-tasking: Foundational organizational and planning skills, project planning and management skills. Proven ability to set priorities, meet deadlines and multi-task with minimal supervision.
∎ Self-Management and Teamwork: Ability to work independently and as a member of the team, ability to be detailed-oriented, and ability to manage stress effectively in a fast-paced environment, ability to meet commitments in a timely manner,
∎ Matrix Management: Ability to thrive in a matrixed organization.
∎ Confidentiality: Ability to maintain confidentiality on work related matters.
∎ Tasks for support may include the following: handling large volumes of travel and logistics management with staff for which ability to details and review required, physical handling of stationeries and supplies for project, ordering replenishment of office stationeries and supplies, amicable dealings with hired Drivers and Office Assistant in completing their tasks, food ordering, traveling by public transportation, cash handling.
∎ Uses cellular and desk phone; laptop or desktop computer; scanner; telephone switchboard
Additional Requirements:
∎ 3 years related experience, including experience in international organization
∎ Prefer: Experience in non-profit organizations
